A well-established law firm is seeking a highly organized and detail-oriented Office Services Assistant to join their team. The ideal candidate will be responsible for managing office operations, supporting administrative tasks, and ensuring the efficient functioning of office services. Key Responsibilities:
- Manage and coordinate daily office services, including mail distribution, deliveries, and office supplies inventory.
- Oversee the maintenance of office equipment (copiers, printers, scanners, etc.) and ensure timely repairs or replacements when necessary.
- Coordinate with vendors and service providers for office-related needs, including facilities management and cleaning services.
- Assist with records management, filing, and archiving documents in compliance with firm policies.
- Support attorneys and staff with general administrative tasks, such as copying, scanning, binding legal documents, and creating mail merges.
- Help coordinate office events, meetings, and conferences by handling logistics such as catering, room setup, and IT support.
- Collaborate with other departments to provide support on overflow tasks, particularly in high-volume periods.
- Perform additional duties as assigned to support the smooth running of the office.
Qualifications:
- Proven experience in office services or facilities coordination, preferably in a law firm or professional services environment.
- Strong organizational skills with the ability to multitask and prioritize tasks in a fast-paced setting.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent communication and interpersonal skills.
- Detail-oriented and able to work independently with minimal supervision.
- Prior experience with records management or familiarity with document management systems is a plus.
- Ability to lift and move office supplies or packages up to 25 pounds.
