Your RoleThe Office Assistant is a part of the Office Services team to support our Morristown office.What You Will DoProvide a full range of Office Management and maintenance servicesPrepare, clean, and sanitize workspaces daily, and maintain tidiness throughout the dayMaintain the aesthetic integrity of the office by monitoring and tidying (cleaning surfaces, vacuuming, spot cleaning) workspaces, printer areas, pantries, conference rooms, teaming areas, and common areas at all times.Ordering general office and kitchen suppliesManage supply budgetsIdentify and facilitate workspace and building repairsMove and store samplesFacilitate seating movesEnsure pleasant aesthetics in lavatoriesSetup new hire desksPrepare coffee service and monitor regularlyMaintain weekly cleanliness and organization of work spaces, office pantries, and food prep stations (refrigerators, etc.)Facilitate office engagement events by:Event planning and coordinationOrdering catering and suppliesSet up and clean-upWork as a team supporting others as needed with projects including:Provide backup coverage to Reception as neededReceive and coordinate last minute deliveriesTrack and coordinate employee and visitor parking passesAssist with preparation and cleanup of in-office meetings, presentations, client meetings, municate and work in tandem with Studio Coordinators for meetings, cleanups, and toursLiaise with building management for coordination of invoicing and identify and report issues as neededOther duties as needed, including assisting with mailroom deliveries for respective coverage floorYour QualificationsBachelor's degree and/or equivalent years of experience requiredMinimum 5+ years experience in Office Services roleA polished and professional appearance and manner of conductCommitment to excellence (punctual, reliable, and always seeking improvement)Service-oriented, with excellent interpersonal skillsA pro-active attitude, constantly anticipating office needsExcellent communication skills, both verbal and writtenOutstanding customer service, exemplified by courteous, friendly and accommodating demeanor towards internal staff and external customers/clientsMay regularly lift and carry up to 25 lbs. and move (push mail cart) over 50 lbsCreative problem-solvingProficiency in Microsoft Office Suite - Word, Excel, PowerPointStrong attention to detail and organizedLife at Gensler We encourage our employees to lead a healthy and balanced life.
