Job Description:

The Office Services Associate assumes a pivotal role in ensuring the smooth functioning of office operations by delivering comprehensive support services, including reception, hospitality, supply inventory management, facilities support and mail handling. Reporting to the Lead Office Services Associate or the Client Relations Manager, this position bears significant responsibility for maintaining a professional and efficient office environment.

  • Location: Houston, TX 77056
  • Schedule: Monday - Friday, 8:00 AM - 5:00 PM
  • Pay: $24.40 per hour

Key Responsibilities Include but are not limited to:

Day to day Account Management

  • Act as the primary liaison between the client and Forrest Solutions, ensuring seamless communication and fostering positive relationships.
  • Front desk management including welcoming guests, processing badging and parking validations
  • Oversee the day-to-day operational requirements, promptly addressing client requests, inquiries, and issues to ensure unwavering client satisfaction.
  • Uphold the professional image of the office by ensuring proper signage, up-to-date communication materials, and an organized and aesthetically pleasing environment.
  • Contribute actively to weekly leadership and senior management discussions, providing articulate reports on outcomes, challenges, and strategies to meet client objectives.
  • Facilities assist with furniture move (Able to lift 50 lbs)
  • Serve as the primary point of contact at a one-person site, managing front desk operations.
  • Perform meeting set-ups and breakdowns – food, beverages, and audio-visual equipment.
  • Comfortable with verbal and written communication, engaging with internal and external clients professionally.
  • Ensuring timely handling of all incoming and outgoing correspondence.
  • Manage inventory, ordering, and restocking of supplies (pantry, snacks, beverages, and office supplies), as needed.
  • Coordinate office moves and assist with furniture relocation when required.
  • Act as a mini-facility manager, handling day-to-day office requests and operations.
  • Manage vendor relationships, ensuring smooth coordination of services.
  • Handle various floor requests, managing time and tasks to maintain the functionality of the workspace.
  • Assisted with mail and package processing and distribution.
  • Print/ Mail
  • Demonstrate strong proficiency in Microsoft Office, particularly Excel, with the ability to utilize tech tools effectively.

Preferred Experience:

  • Prior experience as an Office Manager or Facility Manager is highly desirable.
  • Strong technical skills and the ability to adapt quickly to new technologies

Qualifications:

  • High school diploma required; college degree preferred
  • Minimum of 2 years of office experience
  • Strong organizational skills and proficiency in Microsoft Office
  • Excellent communication and client service abilities
  • A positive attitude and team-oriented approach
