A prominent firm is seeking an Office Services/Records Coordinator to join their team on a temporary basis. The Office Services and Records Coordinator is responsible for managing the day-to-day operations of office services and records management within the organization. This position plays a vital role in ensuring the smooth operation of office functions, including mail distribution, supply management, and document storage and retrieval. The position is expected to last 3-4 months.
Key Responsibilities:
- Manage and oversee daily office services functions, including mail distribution, shipping, and receiving.
- Maintain and order office supplies, track inventory, and liaise with vendors for replenishment.
- Ensure the cleanliness and organization of common areas such as the mailroom, kitchen, and conference rooms.
- Assist with facilities requests and coordinate repairs and maintenance with building management or contractors as needed.
- Organize, classify, and maintain both physical and electronic records according to the company's records management policies.
- Perform regular audits of records to ensure compliance with legal and regulatory requirements.
- Respond to requests for document retrieval, locate and provide requested records to team members in a timely manner.
- Maintain a well-organized filing system for both active and archived files, ensuring documents are easily accessible.
- Support office events and meetings by coordinating room setup, ordering supplies, and arranging catering as needed.
Qualifications:
- Associate's or Bachelor's degree preferred, or equivalent experience in records management, office services, or a related field.
- 2+ years of experience in office services or records coordination, preferably within a corporate or legal environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Familiarity with records management software and databases is a plus.
- Excellent organizational skills and attention to detail.
- Strong interpersonal and communication skills.
Compensation:
$20 - $25 per hour.
