Job Description:

Join our team as a Mail Services Coordinator, where you'll play a vital role in efficiently managing incoming and outgoing mail, ensuring accurate distribution and exceptional client satisfaction. Reporting directly to the Lead Office Service Associate Mail or the Client Relations Manager, you'll be responsible for maintaining the smooth operation of our mailroom and upholding the highest standards of service.

Pay - Rate: $17.00/hr - 18.00/hr

Shift: 9:00am - 5:00pm; Monday - Friday

Key Responsibilities:

Process & Procedures:

  • Collaborate with client organizations to develop and refine specialized mailroom procedures for efficient handling of mail.
  • Implement sorting procedures to prioritize mail for prompt distribution to respective departments.
  • Conduct scheduled internal runs for interoffice mail delivery and utilize advanced postage equipment for accurate metering of outgoing mail.
  • Prepare and process specialized outgoing mail, ensuring compliance and secure delivery.

Client Experience/ Satisfaction:

  • Develop strong client relationships and maintain high levels of customer satisfaction through effective communication and issue resolution.
  • Conduct regular inspections to ensure workspace standards are met.
  • Respond promptly to client complaints and concerns, conducting quality assurance follow-up.

Mail Services:

  • Execute essential mail services, including accurate sorting, distribution, internal runs, postage metering, and processing of specialized outgoing mail.

Print Services:

  • Perform critical print services, including copying, quality control checks, record log maintenance, binding, and basic copier maintenance.

Training:

  • Actively participate in training programs to enhance knowledge and skills in mail services.

Position Requirements:

  • High school diploma or equivalent, college degree preferred.
  • Minimum 1 year of relevant experience.
  • Proficiency in Microsoft Office products.
  • Strong interpersonal skills with a client-first mentality.
  • Ability to multitask and work in a fast-paced environment.
  • Excellent decision-making skills and attention to detail.
  • Effective verbal and written communication skills.
  • Technological proficiency and adaptability.
