The Office Associate position provides administrative support to the Fiscal, Special Projects, and State Agency Program Teams within the Office of Special Services & Inclusive Education. The projects associated with these teams make an enormous difference in the lives of children. This is a fast paced, multifaceted position that provides a lot of variety and professional opportunities for growth. This position provides administrative support to the Office of Special Services. The office associate plays an essential role in the day-to-day operation of this very important work that supports children with disabilities. The position provides office support requiring knowledge of office processes, business practices, and clerical functions requiring attention to administrative and business details. Performing complex office support tasks that are similar in nature requiring solid knowledge of modern office practices and office equipment necessary to perform divergent clerical functions. Responsibilities require independent judgment in handling exceptions to established work assignments, priorities, and schedules. Work is performed under limited supervision.Knowledge, Skills and Abilities:
- Knowledge of the principles of organization.
- Knowledge of principles of practice, techniques, related to quality control of data input and output.
- Ability to initiate, coordinate, implement and evaluate administrative activities
- Ability to coordinate workshops, and trainings, and materials necessary for each event.
- Ability to perform routine, secretarial duties such as complete work schedules, arranges appointments, arrange travel/lodging and review document to respond to requests.
- Ability to format and type standard business correspondence from draft or dictation into final form.
- Ability to establish and maintain computerized and/or manual filing systems.
- Ability to apply procedures, evaluate information, and make determinations from set data.
- Ability to effectively monitor and ensure the flow and accuracy of data input and output in electronic form.
- Ability to organize, amend, transfer information, and present in modified form.
- Ability to recognize computer hardware, software, and user program anomalies.
- Ability to determine and requisition inventory/supplies.
- Ability to communicate effectively.
- Ability to write clearly and effectively.
MINIMUM QUALIFICATIONS
- Training, education, or experience in office and administrative support work that demonstrates 1) competency in applying a proficient knowledge of modern office practices to perform advanced administrative support tasks requiring specialized skills, and 2) the ability to use independent judgment, initiative, and discretion to make determinations on varied matters. All positions in this classification assume the qualifications of: Office Assistant I, Office Assistant II, Office Associate I and Office Associate II.
