The position will provide office and administrative work in support of agencies throughout the Department, ensuring programs are able to meet operational and processing needs; assist with administrative functions related to customer service, revenue processing, licensing, complaint processing, procurement and recruitment.
Primary responsibilities include:
+ Provide administrative support to cover vacancies and leave throughout the Department, including phone coverage, revenue processing, procurement and scheduling
- Receive and greet customers and determine needs
- Use of licensing, accounting and document management software
+ Liaise between the Commissioner's Office/Administrative Services Division and agencies on administrative support needs.
+ Develop and recommend new work methods and administrative policies/procedures to improve existing work practices.
+ Analyze personnel, operational, and organizational issues and problems.
+ Assist agencies with recruitment and performance management, including drafting/reviewing recruitment forms, interview questions, performance expectations, hiring forms, disciplinary forms and training material.
+ Maintain open lines of communication with management to ensure administrative needs are met.
+ Assist agency managers with administrative processes, including providing administrative support, reviewing processes/procedures to meet new and/or changing work requirements, and documenting procedures/practices
Skills or knowledge required:

Minimum qualifications:
Training, education, or experience in administrative support work that demonstrates 1) competency in applying a proficient knowledge of modern office practices to perform advanced administrative support tasks at the statewide level that are broad in scope or functionally diverse, and 2) the ability to use independent judgment, initiative, and decision making on complex administrative matters. All positions in this classification assume the qualifications of: Office Assistant I, Office Assistant II, Office Associate I, Office Associate II and Office Specialist I.
