Job Description:

Description We are seeking an Office Specialist to join our team located in Cleveland, Ohio. This role offers a contract to permanent employment opportunity and is primarily focused on administrative and office functions. The Office Specialist will be instrumental in maintaining the smooth operation of our office, from managing incoming calls and visitors to preparing international shipping documents and maintaining customer and vendor files. Responsibilities: Manage and route all incoming phone calls and visitors to the appropriate personnel. Prepare international and domestic shipping documents, including invoices, and schedule shipments for all orders. Maintain all customer and vendor files, both physical and electronic. Assist in order entry and data entry as needed. Aid in receiving and shipping operations as necessary. Serve as a backup for the Customer Service Coordinator and Office & Compliance Specialist. Assist in marketing projects, which include ordering, assembling, and mailing sales literature. Maintain the front office, office coffee kitchen, and conference room in a neat and orderly fashion. Train all new and existing employees in the essential duties and responsibilities of their job. Perform other duties as assigned or directed. Requirements Possess a minimum of 1 year experience in an office setting Demonstrated proficiency in Administrative Office tasks Good command of Basic Office Skills Familiarity with Basic Office Equipment Prior experience in a Family Office is a plus Ability to Maintain Office Supplies Proficiency in Microsoft Office Suite Knowledge of standard Office Functions Excellent communication and organizational skills Ability to multitask and prioritize work effectively High level of attention to detail and problem-solving ability Strong interpersonal skills and ability to work in a team environment High school degree or equivalent; higher degree in a relevant discipline is a plus.
