Salary : $44,324.80 Annually Location : Monroe, WI Job Type: Full-Time Job Number: 2021-00276 Department: UW Extension Opening Date: 12/05/2024 Closing Date: 12/27/2024 4:59 PM Central Description/Summary The full-time UW Extension Office Specialist is primarily responsible for delivering quality customer service to clients and potential clients; assisting and supporting UW-Extension faculty and staff in delivering educational programs and serving as the administrative assistant for UW-Extension faculty and staff. Essential Duties and Responsibilities ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
- Maintain accurate financial records of program areas by collecting registration fees, verifying fundraising money, and accurately documenting for program treasurers. Keep financial assistance applications in strict confidence. Create invoices for amounts due to various organizations. Verify accuracy of financial accounting.
- Ensure all training requirements have been met before accepting adult volunteers.
- Follow UW-Extension Youth Protection Laws and implement proper procedures for groups to comply with.
- Deliver friendly, helpful customer service to clientele and visitors via personal contacts, telephone contact, mail or by electronic means.
- Accurately design and prepare newsletters, handouts, visuals, brochures, posters, signs, and other bulletins to aid in promoting UW-Extension Activities, while complying with state mandated branding rules.
- Operate computers, printers, copiers, folding machine, laminators, large format printer, projectors, speakers, microphones, duplicator machine, scanner, postal machines, and other related office machines.
- Operate video and audio equipment
- Accurately maintain and update files and produce UW Extension correspondence, reports, and other related work as required.
- Maintain lists and schedules of UW Extension events and programs, and attend events to help as necessary.
- Direct, train and monitor use of Video Conference programs.
- Create informative and attractive advertising campaigns for local newspapers and Facebook.
- Write and distribute press releases to area newspapers and radio.
- Help maintain Green County 4-H Facebook page and the UW-Extension Facebook page with relevant and appealing content.
- Maintain office Civil Rights files and assist with annual Civil Rights mailing.
- Risk Management-Responsible for making sure volunteers have completed the necessary requirements to be entered into the computer program for future background checks completed by the State.
- Responsible for running various errands for programming areas on behalf of the office.
- And such duties and responsibilities as may be assigned from time to time.
SUPERVISORY RESPONSIBILITIES: In the absence of the Business Manager, carry out some supervisory responsibilities, in accordance with the organization's policies and applicable laws. Responsibilities include training employees; planning, assigning, and directing work; addressing complaints and resolving problems. Qualifications QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required EDUCATION and/or EXPERIENCE: Associate's degree or equivalent from two-year college or technical school; or three years related experience and/or training; or equivalent combination of education and experience. Knowledge of 4-H, Youth Development, Agriculture, Community/Economic Development, and/or Family and Consumer Sciences, helpful. Strong ability to work as part of an educational team as well as independently, sometimes without direct supervision or direction. Proficient with a wide variety of computer programs such as word processing, spreadsheet, PowerPoint graphic design, web design, Google Suite, Microsoft Word, Excel, Publisher, electronic mail, Internet browser, Office Facebook, and County Fair software. Must have excellent organizational, interpersonal and strong written communication skills. Experience with program marketing is preferred. CERTIFICATES, LICENSES, REGISTRATIONS: Valid driver's license. Possess or have access to an insured motor vehicle that has a valid registration and insurance policy with minimum liability coverage as required by law. MATHEMATICAL SKILLS: Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to accurately prepare and maintain program financial records. REASONING ABILITY: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
