Job Purpose

The Office Support Administrator will be responsible for providing administrative support to ensure efficient operation across the division. This role involves handling a variety of tasks related to division activities, resource management, and customer management.

Key Accountabilities

* Division Administrator of controlled document and information management systems (ISOQuest/File Bridge). Responsibilities include system administrator, system governance and document upload for retention.

* Maintain division templates for presentations, business planning, and resource management.

* Support the planning and coordination of division related activities including but not limited to engagement, supplier conference, and other division led activities.

* Facilitate division responsibilities such as associate & contractor support to include on-boarding/off boarding activities, division orientation, security & system access, laptop management, asset inventory, etc.

* Ensures NAIP supplier contact information in Ariba is reviewed and maintained on a regular basis.

* Facilitates the planning of division wide projects and support business planning activities to further the division goals and objectives.

Qualifications, Experience, and Skills

Minimum Educational Qualifications:

* Associate's degree in applicable subject (e.g., business administration) and/or equivalent related experience

Minimum Experience:

* 2 years' experience required in operations management or related field.

Other Job-Specific Skills:

* Skilled in Microsoft Office applications (Excel, PowerPoint, Word, etc.) and the SAP-Ariba technology platform.

* Ability to collaborate effectively with division and department leadership on key business directives, including business planning, budget, and manpower.

* Demonstrate the ability to maintain strict confidentiality.

* Good internal collaboration and communication (both written & oral) skills.

* Can lead cross-functional and divisional projects and activities.

* Effective time management skills and process flexibility.

Decisions Expected

* Collaborates with internal/external business users regarding on-boarding/off-boarding activities, division orientation, security & system access for all new hires and attrition.

* Analyze effective use of Division ISO Quest systems to maintain current policies and procedures.

* How to best facilitate excellent customer service to internal and external stakeholders and ensure proper coordination internally with NAIP.

Working Conditions

Hybrid Office environment, ability to work on-site 2-3 days a week. No more than 5 % travel required.
