Role Description: Under the direction of the Accounting Supervisor and Plant Manager, the Plant Administrator performs a variety of purchasing/receiving activities, plant office coordination, vendor management, maintenance parts/ office supplies inventory, accounts payable coding of invoices, clerical data entry and backup support for other departments as needed
Responsibilities include:
- Create and issue purchase orders using Microsoft Access and Upkeep program for indirect materials such as maintenance parts, operating supplies, safety supplies, office and janitorial supplies
- Receive in all package deliveries and communicate to departments upon arrival
- Maintain control of indirect inventory on all orders and close purchase orders once received
- Track order and request lead times for all ordered indirect materials and communicate with proper department
- Contact vendor to arrange all services and repairs for office and plant and follow up upon completion of service
- Meet with local sales representatives from vendors on new products and services
- Support maintenance department with clerical duties as needed
- Work with third party accounting system to code and process invoices for approval
- Communicate with vendors regarding vendor set up and invoices
- Generate open PO reports for Plant Manager to advise on budgeting
- Support Accounting month end functions regarding AP
- Perform data entry and backup support in Microsoft Dynamics for other departments as needed
Requirements:
- HS Diploma or equivalent required; College Degree a plus
- Minimum of 1-2 years' experience in an office/plant environment
- Must have strong oral and verbal communication skills. Possess exceptional interpersonal communication skills
- Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Good troubleshooting skills
- Basic mathematical skills used to add, subtract, multiply, divide, and use decimals and fractions
- Ability to perform work in a mature and professional manner, demonstrate personal responsibility, and perform all assigned duties
- Ability to work independently on assigned tasks, as well as to accept direction on given assignments
- Working knowledge of MS office and exceptional computer skills
- Must be able to sit for extended periods of time
