This is a full-time, probationary position within the School of Urban Education.Job Responsibilities:Provide office support and receptionist duties to the School of Urban Education (UED) by providing general clerical and administrative assistance to support the Dean, Office Manager, Department Chair, staff, as well as resident and community faculty, and by serving as front-line receptionist for current and prospective students and the general public welcoming them to UED and connecting them to appropriate UED personnel and information.Minimum QualificationsThe following qualifications are required of all applicants seeking consideration for this position. Only applicants whose application materials clearly demonstrate fulfillment of each of these minimum qualifications will be considered for the position:
  • Two or more years of work experience in the position or related to the position operating basic office equipment.
  • English language skills (oral, written and comprehension) sufficient to communicate effectively, including ensuring documents and written communications are grammatically correct, in proper format, and free of spelling errors.
  • Proficiency working with Microsoft Office Suite - (Outlook, Word, Excel, Teams) word processing to type and format letters, memos, reports, and meeting minutes, and aptitude for learning new software and systems.
  • Data entry skills sufficient to enter and maintain accurate data, compile records, store files, create and maintain spreadsheets, and manipulate spreadsheets for data analysis with attention to the details.
  • Ability to work independently and take initiative to do a job without regular help and advice from other staff and faculty within the program.
  • Ability to establish effective working relationships and cross-cultural communication amongst diverse students, staff, and faculty in a diverse learning and work environment.
Preferred Qualification
  • Two or more years experience working in a higher education institution
  • Expert level skills in spreadsheets, word processing, publishing, and email systems (MS Excel, MS Word, MS Forms, Adobe, Canva, Outlook).
  • Math skills sufficient to calculate, complete and verify totals and reconcile data and balance accounts on report forms, requisition, or bills, using a calculator and ensuring accuracy.
  • Excellent organizational and problem-solving skills and the ability to prioritize workload, meet required deadlines on completing priorities, and follow up on or initiate activities independently.
  • Culturally responsive communications skills that engage in ways to identify colleagues', students' and partners' needs with empathy, able to convey information with tact, and diplomacy in problematic situations and successfully resolve any problems from working with internal and external colleagues, students and partners.
  • Experience in managing multiple projects while staying focused through frequent interruptions while still delivering results and meeting deadlines individually and with teammates.
