Office Support Specialist - College of Media
We are now accepting applications for an Office Support Specialist who will perform complex accounting and support tasks under the limited direction of the Assistant Dean for Administration. As a member of the Business Shared Service Center, this position provides support to the College of Media (COM) including Illinois Public Media (IPM).
Duties & Responsibilities:
* Independently establish and modify the maintenance of monthly account reconciliations of Banner account statements to source documents.
* Process P-card and T-card transactions as requested for Business and HR related purchases.
* Serve as the lead Chrome River (CR) staff member, using independent judgement for reviewing and approving CR reports.
* Serve as receptionist by greeting faculty, staff, student, and community visitors in a friendly and professional manner, answering their questions, and directing them appropriately.
* Complete departmental deposit forms for cash and donor deposits.
* Complete Journal Vouchers when required/as requested.
* Assist as liaison with campus officials, faculty, students, staff, alumni, and guests, providing information and responding to inquiries associated with college and campus policies and procedures.
* Initiate contracts submitted into Contract+, verifying appropriate use of CFOP, fund availability.
* Initiate requisitions in iBuy.
* Serve as back-up office support for the Dean of the College, the Associate Dean for Diversity Equity and Inclusion, Associate Dean for Academic Affairs and the Assistant Dean for Administration.
* Assist the College and Departments with record retention guidelines and disposal requests.
* Assist with Biennial inventory and other FABWeb related items.
* Submit work orders to F&S based on various requests received through the Dean's Office.
* Assist departments with submitting textbook requests to IUB.
* Responsible for tracking and maintaining keys for the College.
* Responsible for the distribution of mail for the college.
* Other duties as assigned.
Minimum Qualifications:
* High school diploma or equivalent.
* Any one or combination totaling two (2) years (24 months) from the categories below:
* College coursework in any curriculum, as measured by the following conversion table or its proportional equivalent:
* 30 semester hours equals one (1) year (12 months)
* Associate's Degree (60 semester hours) equals eighteen months (18 months)
* 90 semester hours equals two (2) years (24 months)
* Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
* Work experience performing office/clerical activities, including the use of computer systems.
* One (1) year (12 months) of work experience comparable to the second level of this series.
Preferred Qualifications:
* Experience with UIUC accounting systems.
Knowledge, Skills and Abilities:
* Excellent organizational, communication and time management skills.
* Interpersonal skills that reflect courtesy, diplomacy, and a collaborative approach to develop and maintain effective work relationships.
* Proficiency with Microsoft Outlook, Word, and Excel.
* Ability to work independently and exercise good judgement and discretion in the performance of all work assignments.
* Ability and willingness to perform at consistently high levels and to demonstrate initiative in the performance of duties.
* Thorough knowledge of general office procedures and good accounting and human resource practices, with attention to detail.
* Be familiar with or have ability to learn applicable policies and procedures of the University, the FCC and the CPB.
* Demonstrated proficiency in working with business applications including BANNER, HRFE, PARIS, ANA, I-9 Tracker, P-card, Eddie, Chrome River, My.Media, other OBFS and/or campus application systems, Lync, Zoom, Teams.
Appointment Information:
This is a 100% full-time Civil Service 3243 - Office Support Specialist position, appointed on a 12-month basis. The expected start date is as soon as possible after the close of the search. The collective bargaining agreement set wage for this position is $40,400.10.
