Responsibilities include inventory, staff scheduling, key management, processing financial forms and transactions related to key payments and change orders, among other tasks. - Monitor Building Operations Team setup sheets, track down missing information and double checks inventory such as chairs, tables, etc. to make sure we aren't overbooked.
- Work with the Events office to create and edit the Attendant work schedule.
- Track Building Operations overtime list and create billings for hours worked.
- Attends Building Operations change of shift meeting daily.
- Attend COPE meeting weekly.
- Issue keys and accept key deposit payments.
- Counts the safe and processes change orders.
- Greets visitors, vendors, and construction crew, and directs people and deliveries to the proper location.
- Other duties as assigned.
Minimum Qualifications 1. High school diploma or equivalent. 2. Any one or combination totaling 2 years (24 months) from the categories below:A. College coursework in any curriculum, as measured by the following conversion table or its proportional equivalent:
- 30 semester hours equals 1 year (12 months).
- Associate's Degree (60 semester hours) equals 18 months.
- 90 semester hours equals 2 years (24 months).
- Bachelor's Degree (120 semester hours) equals 3 years (36 months).
B. Work experience performing office/clerical activities, including the use of computer systems. 3. One year (12 months) of work experience comparable to the second level of this series.Knowledge, Skills and Abilities
- Working knowledge of clerical and office procedures.
- Able to effectively use Excel, Word, and Filemaker.
- Able to operate a calculator quickly and accurately.
- Ability to choose the right mathematical methods or formulas to solve a problem.
- Must be able to handle stress of deadlines
- Must be personable and cooperative with co-workers.
- Ability to follow instructions with minimum amount of supervision.
- Working knowledge of the productions and activities carried out in the organization.
Appointment InformationThis is a 100% full-time, overtime eligible, Civil Service 3243 - Office Support Specialist position, appointed on a 12-month basis. The expected start date is as soon as possible after 1/13/2025. A collective bargaining agreement sets the starting wage for this position at $20.71/hr with the final rate of pay will be determined by a thorough assessment of available marketdata, internal salary equity, candidate experience and qualifications,collective bargaining agreements, and budget constraints.
