GENERAL DESCRIPTION:

Assist the Business Office Coordinator in the day-to-day operations of the lodging program. Perform a variety of tasks associated with the operations including scheduling, invoicing. Camp Guernsey Lodging provides lodging to customers and soldiers training and working on Camp Guernsey. The goal is to provide prompt, courteous, reservation services, as well as customer service to guests. Coordinates, schedules utilization packets on the database reservation system.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level.

* Manage, plan, and coordinate lodging reservations as required by the packet process. Maintains database information creates reports and tracks usage.

* Organizes daily, weekly, monthly, and annual reviews of packets.

* Attends annual TSSC conference, IPC's, IPT's, and unit site visits.

* Preparing individual and unit invoices, ensuring lodging reservations are invoiced, collected, and deposited.

* Receiving revenue, daily bank and credit card receivable deposits, and daily banking.

* Daily count of cash receipts.

* Daily close out the cash register, compare receipts to cash register close outstrip, post daily sales in Quick Books, prepare and make a daily bank deposit.

* Manage the daily operation of the office (telephone, emails, and written correspondence).

* Present a professional image to the public while greeting and registering guests.

* Assist with planning and implementation of new projects.

* Daily register bookkeeping.

* Opening safe, counting money, daily receipt register, and daily closeout, counting money, proving invoice receipts to daily cash register receipts, securing safe and key cabinet

* Maintain office key inventory, issue and clear key hand receipt, prepare an invoice and collect payment for lost keys, making key tags for all individual keys.

* Prepare key register, building and room register, and linen hand receipts.

* Support customer needs.

* Bind monthly invoices, monthly utilization packets, and monthly cash register receipts.

* Distributing Housekeepers' weekend duties Daily assignment housekeeping staff with required stayover and/or change-out information.

* Prepare and submit work orders to ensure safe living areas to customers.

* Complete ISR database quarterly, assist with annual inventory.

* Date tracking and inventories. Tracking ADOS employees and billet dates Prepare and track keys and supplies inventory.

Qualifications

PREFERENCES:

Preference will be given to those applicants with QuickBooks, Google Docs, and scheduling reservation experience.

KNOWLEDGE:

* Excellent organizational skills, written and verbal communication skills, and proficiency in Microsoft Word, Excel, Google Docs, QuickBooks, and other software as required.

* Thorough understanding of agency rules and regulations, agency mission, administrative process, principles of customer service, management, fundamental principles, concepts, and a general knowledge of bookkeeping.

MINIMUM QUALIFICATIONS:

Education:

Associate's Degree (typically in Business)

Experience:

0-2 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I

OR

Education & ExperienceSubstitution:

2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I

Necessary Special Requirements

PHYSICAL WORKING CONDITIONS:

* Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.

* Will be required to work weekends.
