Position Overview:

We are seeking a detail-oriented and proactive Office Support Specialist to join our administrative team. This role is crucial in ensuring the smooth operation of our office and supporting our legal professionals. The ideal candidate will have excellent organizational skills, a strong work ethic, and a positive attitude.

Key Responsibilities:

  • Administrative Support: Provide comprehensive administrative support including managing phone calls, scheduling meetings, and handling correspondence.
  • Document Management: Assist with the preparation, proofreading, and filing of legal documents and correspondence. Maintain organized electronic and physical filing systems.
  • Client Interaction: Greet clients, manage client inquiries, and ensure a welcoming and professional office atmosphere.
  • Office Operations: Oversee office supplies, manage inventory, and coordinate with vendors. Ensure the office environment is clean, organized, and operational.
  • Data Entry: Accurately enter and update client and case information in our management systems.
  • Calendar Management: Schedule and coordinate meetings, depositions, and other appointments for attorneys and staff.
  • Event Coordination: Assist in organizing and coordinating firm events, meetings, and seminars.

Qualifications:

  • Education: High school diploma or equivalent; Associate's degree or relevant certification is a plus.
  • Experience: Minimum of 2 years of office support or administrative experience, preferably in a legal environment.
  • Skills: Strong organizational and multitasking skills, proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and familiarity with office equipment.
  • Communication: Excellent verbal and written communication skills, with a professional demeanor.
  • Attention to Detail: High level of accuracy and attention to detail in all tasks.
