Job Summary
Performs a variety of administrative and fiscal duties for the Office of Academic Programs. This includes responsibility for managing activities related to the planning, coordination, and execution of events and programs for undergraduate recruitment, outreach and student engagement.
Duties & Responsibilities
Event Coordination Assistance
* Assist with arranging events related to undergraduate recruitment, outreach, and student engagement by providing logistical support to staff members such as making room reservations, ordering catering as needed, sending invitations, etc.:
* Includes all on-campus and off-campus recruitment events.
* Student outreach events such as FFA Career Development events and State and National FFA Convention.
* Student engagement events such as New Student Welcome and December/May Convocations.
Administrative Support
* Provide administrative support for departmental area initiatives as needed.
* Serves as a point of contact for routine inquiries, requests, and problems via phone, email and in person in a friendly and professional manner.
* Handle general administrative duties for the unit.
* Provides follow-up communication for events and visits.
* In accordance with OBFS policies and procedures, purchase office supplies, food and travel with a University P-card, T-card or via i-buy on behalf of Academic Programs Staff.
* Process travel reimbursements as needed for Faculty, Staff and Students.
* In consultation with appropriate staff members, track event and recruitment spending to stay in line with approved budgets.
* Provide scheduling support for all prospective and admitted student visit days including both campus-wide events and College of ACES specific events.
Registered Student Organization Support
* Provide administrative support to advisors for Student Leadership Committee and Minorities in Agriculture, Natural Resources and Related Sciences.
* Assist with room reservations and purchases as needed.
* Other duties as assigned.
Minimum Qualifications
CREDENTIALS TO BE VERIFIED BY PLACEMENT OFFICER
1. High school diploma or equivalent.
2. Any one or combination totaling two (2) years (24 months) from the categories below:
A. College coursework in any curriculum, as measured by the following conversion table or its proportional equivalent:
* 30 semester hours equals one (1) year (12 months)
* Associate's Degree (60 semester hours) equals eighteen months (18 months)
* 90 semester hours equals two (2) years (24 months)
* Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
B. Work experience performing office/clerical activities, including the use of computer systems.
3. One (1) year (12 months) of work experience comparable to the second level of this series.
Appointment Information
This is a 100% full-time Civil Service Office Support Specialist position, appointed on a 12-month basis. The expected start date is as soon as possible. This is a bargained position and as such, the salary is driven by the collective bargaining agreement. The entry-level salary for the Office Support Specialist classification is $20.72 per hour.
Sponsorship for work authorization is not available for this position.
Out-of-state candidates must establish Illinois residency within 180 calendar days of the start date for this position. Illinois residency requires proof of a valid Illinois Driver's License or state of Illinois ID Card. Failure to produce the required documentation within 180 calendar days will result in immediate termination of employment.
