Position Summary:Onboarding Coordinator will ensure that all employees experience a meaningful and well-organized onboarding experience starting from the official offer letter through the first 90 days of employment. The Onboarding Coordinator will ensure all onboarding and new hire processes are completed within the first 90 days of employment.The pay rate for this position ranges between $25.48 - $27.88 per hour and the offer amount is determined by the candidate's education, qualifications, and experience . Indeed provides their own estimated salary calculator and is not affiliated with COH's range. Highlighted Duties and Responsibilities:Pre-Hire Onboarding Responsibilities:
- Provides feedback to supervisor on an ongoing basis regarding candidate progress through pre-hire onboarding process, especially if concerns arise.
- Once a verbal offer has been accepted add and follow the appropriate Onboarding Checklist to include ordering drug and alcohol testing for Safety Sensitive staff within 24 hours.
- Orders required talent management background screening within 3 business days of receipt of consumer authorization and disclosure.
- Serves as main point of contact for new hires during the onboarding process; answering questions and directing employees to appropriate resources and individuals as necessary.
- Reviews all unfavorable background checks with Director of Training and Culture and Senior Director of Talent Management within 24 hours of receipt. Conducts the pre-adverse action process when necessary, according to the adverse action checklist.
- Partners with Audit and Compliance Coordinator and Credentialing Coordinator to ensure that all background checks that require a third-party approval (i.e. DHS, DCPS, etc.) are collected and cleared in a timely manner.
- Launches and reviews all Onboarding packets in Paylocity; takes appropriate action for missing information as needed and approves through all records so that they transfer to HR and Payroll in Paylocity prior to a new hire's start date.
- Completes I-9 and E-Verify process for all new hires and follows up on any Tentative Nonconfirmations (TNC) responses that are received from eVerify.
- Ensures all documents received are immediately filed in the employee personnel file.
Employee Onboarding Responsibilities:
- Assists Training and Culture Director in the coordination of all Onboarding training requirements which include OSHA, Harassment, HIPAA, Mandated Reporter, and other training and certifications as needed.
- Coordinates and facilitates an engaging first day experience on site and in-person which includes covering HR onboarding items and ensuring other appropriate first day orientation sessions happen (i.e. Finance, IT, etc.) and other required items per the onboarding checklist.
- Completes full Onboarding checklist for each employee as soon as possible but no later than 90 days after first day of employment.
- Regularly reviews and updates appropriate checklists for Onboarding.
- Partners with the hiring managers on an ongoing basis to ensure Onboarding experience is as smooth as possible throughout the first 90 days.
- Regularly researches best practices and evaluates ongoing programs to ensure Onboarding schedule meets and reflects best practices, along with supervisor.
- Reviews and approves Pending Employee Changes in Paylocity on a weekly basis.
- Reports strategic plan data on an annual and bi-annual basis as needed.
- Creates monthly employee e-newsletter, including soliciting contribution of content and creating content.
- Completes all wage garnishments that are received with supervisor approval.
Requirements
- High school diploma/GED required. Bachelor's degree or equivalent experience strongly preferred.
- Ability to prioritize tasks and complete in a timely and thorough manner.
- Speaking in front of medium to large groups of individuals required.
- Experience leading trainings strongly preferred.
- Attention to detail and strong organization skills.
- Ability to work independently and ask for support as needed.
- Strong interpersonal skills.
- Working knowledge of MS Word, Outlook, and Excel.
- Prior office/administrative experience required.
- Ability to handle sensitive information with care and discretion to ensure confidentiality required.
- Ability to act responsibly, professionally, and use good judgment under pressure required.
- Ability to travel to other sites as needed required.
