Role Description

This is a full-time on-site role for an Operational Specialist at Primary. The Operational Specialist will be responsible for tasks related to operations management, project management, sales, communication, and utilizing analytical skills to ensure efficient daily operations.

  • Draft essential policies on safety, security, confidentiality, and childcare standards to ensure legal compliance and create a safe, regulated environment.
  • Establish NDA agreements, code of conduct, and privacy policies for employees and members.
  • Design workflows for daily operations, scheduling, inventory management, and staff communication.
  • Develop checklists and protocols for facility setup, cleanliness standards, and maintenance routines.
  • Coordinate with the marketing team to maintain brand consistency and engage with families online.
  • Implement and oversee digital tools like BambooHR, scheduling software, HubSpot, payroll systems, employee and member management platforms, and communication channels.
  • Organize and maintain a centralized database for family information, attendance, health records, and staff data: SmartCare software
  • Identify and establish relationships with vendors for supplies, events and facility needs, negotiating terms to meet budget requirements.
  • Assist in creating a budget structure and monitor spending, helping the leadership team stay financially responsible.
  • Design an onboarding process that introduces new hires to the company's culture, mission, and daily processes, employee contracts, partnership contracts.
  • Coordinate initial training on operational systems, compliance, and safety protocols, ensuring everyone is aligned and prepared.
