What you will do for Harris County Precinct 4 (HCP4)

Harris County Precinct 4 seeks an Operations Administrative Coordinator for the Operations Division, with a primary focus on projects relating to Community Programs and Recreation departments. Reporting to the Manager of Operations Administration, this position will provide high-level administrative support for multiple departments. The ideal candidate will consistently promote a professional and positive image of Precinct 4 through personal appearance and public relations.

Job Duties and Responsibilities:

The duties listed below are intended only as illustrations of the various types of work that may be performed.

* Supports the Sr. Director of Operations and Manager of Operations Administration on projects for the leadership team as assigned.

* Assist with scheduling and calendar management for the leadership team.

* Process constituent requests, reports, and complaints in the 311/ServiceNow system.

* Perform routine quality control audits for community and nature centers to ensure that a consistent look and feel is maintained across the precinct.

* Maintain a database of vendors and partner organizations, acting as the point of contact for the Operations division.

* Procure materials, supplies, equipment, and services for multiple departments in the Operations division.

* Act as a Finance Point of Contact for the Operations division, backing up the Special Assistant as needed

* Draft and revise program and class descriptions.

* Update and edit monthly community center calendars.

* Oversee the inventory of equipment, supplies, and promotional materials.

* Recruit and manage volunteers, both internally and externally

* Coordinate and direct office services, such as records, departmental finances, budget preparation, procurement, personnel issues, and other supportive services.

* Coordinate meeting logistics by preparing agendas and organizing necessary arrangements, including catering for luncheons and other gatherings

* Communicate with other relevant departments or team members to ensure tasks are completed.

* Support the development and maintenance of the Operations Division's precinct intranet portal.

* Attend meetings and record accurate minutes as needed.

* Maintain confidential records and files.

* Other duties as assigned.

Requirements

Education and Experience:

* High school diploma or G.E.D. equivalent

* Three (3) years of experience performing administrative support for a supervisor or team

OR

* One (1) year of experience supporting a high-level manager or executive

Licensure:

* Valid Texas driver's license and maintain a good driving record

Knowledge, Skills and Abilities:

* Must be proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).

* Knowledge and experience using Grammarly, Canva, ServiceNow/311, Monday.com, and/or ActiveNet is a plus.

* Excellent verbal, listening, and written communications skills.

* Excellent time management, multitasking, and data entry skills.

* Ability to meet multiple deadlines and balance numerous projects in a fast-paced environment.

* Ability to establish and maintain effective working relationships and foster teamwork in a diverse environment.

* Ability to work well with the public and staff members.

* Good planning and organizational skills.

* Ability to work effectively in a team or autonomously with accountability.
