General Purpose of Job Provide administrative assistance and support for Manufacturing Operations. This assistance includes facilitating daily office procedures, SAP updates and reconciliations. Facilitating missing product investigations throughout warehouse. Compiling data to complete required reports. Draft, edit, and complete various types of correspondence, both internal and external. Maintain files. Coordinate respective activities with other supervisors and employees. Responsible for other projects and assignments, as required. Essential Duties and Responsibilities
  • Incumbent is primarily responsible for providing daily administrative support for Plant Operations.
  • Support Operations by maintaining effective administrative systems and procedures.
  • Liaison between sales group and prepares manufacturing and shipping job instruction and all pertinent materials for any new accounts.
  • Helps manage internal and external correspondence, filing systems, monitoring inventories, e-mail and voice communications, workflow efficiencies, etc.
  • Assure working knowledge of applicable aspects of the SAP system, particularly as it relates to material transactions.
  • Maintain system updates as required for accurate production documentation and reporting. As noted above, must be computer savvy, with solid working knowledge of systems software.
  • Gather, compile, and organize information and data to accurately complete required reports for Operations.
  • Document wide range of information mostly related to production tracking and analysis.
  • Handle data entry pertaining to production, material transactions within the SAP system, and other production-related information.
  • Communicate effectively on daily basis with both internal and external stake holders. Answer assist and/or refer appropriately. Take written messages when necessary and assure they are clear, accurate and thorough. Follow-up with all parties, as needed.
  • Coordinate with other facility Operations' supervisors, as well as other managers and employees. Become familiar with other administrative support staffs to facilitate communication and actions more readily between their offices.
  • Administer other projects and assignments, as directed. Competencies

    • Ability to create and monitor routine reports.
    • Ability to look up information, interpret Warehouse Management transactions.
    • Ability to use complex technical information to correctly identify materials
    • Proficient in MS office, SAP experience preferred
    • Is an independent, self-motivated team player with the ability to multi-task.
    • Is experienced with material flow through a manufacturing facility
    • Completes work in timely manner.
    • Attendance/Punctuality - Is consistently at work and on time. Education/Experience
      • High School diploma, or GED equivalent required; associate's degree in business preferred
        • 1-3 years related experience in a technically oriented position, or equivalent combination of education and experience.
        • Experience with Inventory Control/Warehouse Management Software preferred.
