Job Summary The Operations Administrator will play a key role in providing comprehensive administrative support to the Birck Nanotechnology Center, ensuring smooth operations and efficient communication across the organization.
Key Responsibilities: - Enhance the efficiency of departmental processes and communication strategies
- Coordinate center-sponsored events and facilitate visits from both internal and external stakeholders
- Collaborate effectively with various departments across the campus to support operational needs
- Schedule meetings and tours with precision and attention to detail
- Manage the calendar of the Center Director, ensuring timely scheduling prioritization of appointments
- Oversee the Birck Center's general calendar, coordinating events, meetings, and activities
- Develop and distribute the Birck Center newsletter to keep stakeholders informed of key updates and initiatives
- Maintain accurate and organized records of center policies, procedures, and other important documents, including updates to the Employee Handbook
- Support website maintenance by assisting with content collection and working with the communications team to ensure up-to-date information
- Assist the leadership team with special projects, including outreach initiatives and other strategic activities
- Serve as a point of contact for external customers, facilitating collaboration on research projects as needed
The ideal candidate with demonstrate strong organizational skills, attention to detail, and the ability to work collaboratively across multiple teams. What We're Looking For:
- Bachelor's degree in Business, Marketing, Communications, or other related field
- Two or more years of significant experience handling diverse projects
- Consideration will be given to an equivalent combination of required education and related work experience (relevant experience will be considered in lieu of a degree)
- Experience building and leading collaborative teams
- Experience working and collaborating with faculty, staff, graduate, and undergraduate students
- Experience identifying and collaborating with corporate partners
- Excellent written/verbal communication skills with an ability to communicate across all levels from academia, industry, and government
- Up-to-date computer skills and knowledge of internet and web-based interfaces
- Excellent organizational skills with ability to manage and execute multiple tasks, work under deadlines, and interface international teams of technical, professional, and clerical personnel
- Ability to effectively interact with university administration, faculty, staff, students, and post docs, industry and government partners
