Hunton Andrews Kurth LLP, an international law firm, is actively recruiting an Administrative/Operations Assistant in our Atlanta office. This position provides reception, operations and administrative support for legal teams, administrative teams, clients, and the firm. RESPONSIBILITIES & ACCOUNTABILITIES: Provides front desk reception support, greeting clients and visitors in a prompt and courteous manner, determining their needs and notifying appropriate person(s) of arrival. Maintains conference room reservation schedules, monitors use of conference rooms and ensures all information is completed in conference room software. Coordinates with Operations and Information Technology staff on equipment and other audio/video setups as may be required. Assists with and coordinates various meetings and social functions for the Atlanta and Charlotte offices, firm, and clients, as requested. Provides general administrative support for local and firm-wide departmental needs, projects, and initiatives, to include, but not limited to, firm Records and File Transfer projects, Lawyer Recruiting & Development, Human Resources, Operations and Information Technology support. Responsible for content creation for Atlanta and Charlotte office digital signage to include office events, birthdays, anniversaries, IT announcements, etc. Provides general administrative backup support for legal teams and to attorneys including, but not limited to, time entry and timely processing of expenses. Provides back up support for Operations to include duplicating, scanning and collating of documents. Serves as back up to arrange for courier services, handling of incoming and outgoing packages as well as any other basic operations duties that may be assigned. Qualifications: Education: High school diploma or equivalent required. College degree preferred. Experience: Experience in a professional services office or other legal support experience preferred. Knowledge of Microsoft Office required. Other Qualifications: Exceptional written and verbal communication and listening skills. Accurate typing, word processing skills and ability to pay strict attention to detail. Spelling, punctuation and use of grammar must be of high quality. Must have strong organizational skills. Ability to work well under pressure, patience, diplomacy, high stress tolerance, ability to prioritize workload and adapt to changing conditions. Visual acuity needed for transcription, extensive reading and input (typing) of information into computer. Ability to receive and convey detailed information through both written and oral communication. Essential competency processes include language ability, reasoning and memory. Ability to maintain flexibility regarding work assignments to work overtime on short notice required.
