Responsible for processes such as Google Calendar, Google Drive, and Google Mail management, meeting coordination, office communications and the provision of general support to the City Manager's Office on a daily basis. Jumps in to participate whenever necessary to ensure smooth and efficient operations. In addition, special projects may be assigned from time to time. - Provide very high level customer service to City Manager and Deputy City Manager, as well as to department heads, employees, citizens, and City Council members. This includes being communicative, polite, patient, accurate, and responding quickly to requests, as well as anticipating what will happen in the future and taking independent action in order to be prepared.
- Provide general support to the City Manager and Deputy City Manager including but not limited to arranging business travel and accommodations, reconciling business expenses, completing expense reports and requisitions, answering phones, communicating information from City Manager and Deputy City Manager to other staff and divisions, filing, preparing forms and records, ordering supplies, composing correspondence, and presentation preparation.
- Manage City Manager and Deputy City Manager calendars and schedules including responding to meeting requests, scheduling meetings in an organized and feasible manner, attending meetings and taking notes/minutes when requested, reconciling scheduling conflicts, maintaining uninterrupted work hours for City Manager and Deputy City Manager. Assist to ensure meetings end and start on time, acting as point of contact to office walk-ins, and daily assistance to ensure City Manager and Deputy City Manager are aware of details of day's meetings.
- Assist with coordinating City Manager and Deputy City Manager daily priorities by acting as central point of contact for the office, reading City Manager and Deputy City Manager emails throughout day, responding to emails that are routine inquiries or redirecting to appropriate department, and identifying matters that require immediate attention.
- Utilize diplomacy, communication, and conflict management skills when responding to a wide variety of inquiries over the phone and in person with City Council members, department heads, public or private officials, employees and the general public related to City services, policies and procedures.
- Plan, organize and coordinate meetings, retreats, conferences, field trips, and events to include ordering catering, venue coordination, event set-up, clean-up, registration management; coordinate various meetings with outside agencies. Ensure City Manager, Deputy City Manager, department heads and council members have all necessary materials and are briefed before meetings and events.
- Serve as a representative of the City Manager's office on a variety of City teams including employee appreciation committees and at City events.
- Independently respond to letters and general correspondence of a routine nature; direct calls to appropriate staff.
- Assure that assigned areas of responsibility are performed effectively, efficiently, and within the approved budget.
- Attend occasional night and weekend meetings and events as assigned.

- At least three (3) years of work experience in a fast paced office environment.
- Degree in business administration, public administration, communications or related field from an accredited college is preferred.
- Excellent interpersonal skills, superb time management skills, and high attention to detail.
- A collaborative and energetic personality with the ability and desire to independently identify needs and solutions.
- Ability to maintain confidentiality as required. Must work well under pressure.
- Must be able to manage and coordinate multiple high level tasks simultaneously with routine interruption.
- Experience with Microsoft Office and Google Suite and other common software programs is required.
- Ability to prioritize, organize, and effectively communicate orally and in writing.
Licensures & Certificates (must be active and current.):
- Current Colorado drivers license with acceptable record.
Physical Requirements and Work Environment:Moderate physical work with the ability to lift 25 pounds. Occasional lifting, carrying, walking and standing, hand/eye coordination for operation of personal computer; vision for reading and preparing written reports and documents; frequent speech communication, hearing and listening to maintain communications with employees and citizens. Works primarily in clean, comfortable environment. Subject to many interruptions and high pressure situations due to multiple calls, inquiries and sensitive office matters.
