Position Overview:
As an Operations Assistant at MaxSolar, you are provided an opportunity to gain real work experience while utilizing the skills and knowledge you've gained in your studies. We are seeking an individual that enjoys a challenge, can provide effective and efficient feedback, and is interested in renewable and sustainable energy. You will be responsible for overseeing and coordinating all aspects of a warehouse operation, including receiving goods, storing inventory, picking and packing orders, shipping products, maintaining accurate inventory records, and ensuring efficient workflow to meet daily shipping deadlines, etc. all while adhering to safety regulations and optimizing warehouse space utilization.
Duties and Responsibilities:
**Lift Request Management**
- Manage lift orders
- Create and manage purchase orders (POs)
- Update asset pages with lift information
- Follow up on invoice discrepancies
- Foster vendor relationships
**Vehicle Management**
- Coordinate vehicle acquisition and delivery
- Acquire and manage WEX cards
- Acquire and manage GeoTab systems
- Acquire and manage toll devices
- Manage Efleets application
- Oversee vehicle maintenance
- Manage accident reporting/claims process
- Acquire and manage insurance (add & remove employees)
**Aerial Scans**
- Meet with vendors to select suitable options and discuss pricing
- Plan execution with vendors
- Manage the scan schedule
- Provide ‘Client Waiver Requests' as needed
- Foster vendor relationships
**Preventive Maintenance (PM) Schedule Management**
- Review PM schedule dates to ensure timely status updates to RTS
- Ensure PMs are moved to RTS as aerial reports are delivered
- Provide annual PM schedules to clients who request them
**GeoTab/Timekeeper Management**
- Review Service Appointments (SAs) and compare them to GeoTab hours
- Verify that Work Orders (WOs) are moved to the appropriate statuses
- Conduct a quick review of WOs to determine if a Return (RMA) occurred and confirm that a Repair Order (RO) was created
**3PL Management**
- Research, locate, and manage the 3PL process for clients
- Internally manage 3PL transactions for billing
**Warehouse Assistance**
- Some warehouse tasks may require multiple personnel
- Similarly, some vehicle maintenance tasks necessitate additional office staff for vehicle drop-off and pick-up
- Manage the warehouse activities when the Logistics Coordinator is unavailable
Qualifications:
- Excellent interpersonal skills, and the ability to effectively communicate with all levels of the organization.
- Self-motivated with ability to work independently and exercise good judgment.
- Proficiency in Microsoft Office Suite, particularly Excel
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Interest in renewable energy and sustainable practices preferred.
