Job Description:

Must Haves:

  • 2+ years experience supporting operations in wealth management or private banking
  • Proficiency in basic Excel functions: sorting and auditing large data sets, exporting CSV files from portfolio management software
  • Fluency in wealth management concepts and terminology
  • Bachelor's Degree required, preferably in finance or accounting
  • Ability to pass a background check and provide credit report

Day-to-Day:

Insight Global's client is seeking a highly organized and detail-oriented Operations Associate to join their growing team. The Operations Associate will play a crucial part in ensuring the smooth and efficient operation of wealth management practice. They will also occasionally interface with clients, helping them easily and accurately complete required administrative tasks in a way that demonstrates the exceptional quality of service the team provides and inspires confidence in the firm. The Operations Associate will work fully during initial training period before transitioning to a hybrid schedule. This is a part-time role averaging 25- 30 hours per week Monday – Thursday between the hours of 8:00a – 3:30p. This is a 4 month contract with high likelihood of extension or conversion to permanent.

Responsibilities:

  • Schwab Institutional Service Liaison: Serve as a primary point of contact with our institutional service team at Schwab, handling all account management and administrative tasks, including account opening/closing, asset transfers, submission of fee debits, estate case workflows, digital and DocuSign envelope creation and management, and other operational issues.
  • Data Entry and Bookkeeping: Manage two ongoing data entry and bookkeeping projects for specific clients, ensuring accuracy and timely completion.
  • Client Billing / Fee Debits: Update and audit quarterly billable AUM reports, calculate fees (and maintain applicable spreadsheets and processes), prepare fee debit upload files, create / update corresponding quarterly invoices and record payments in QuickBooks, and help prepare / send invoice copies to clients.
  • Client Support: Guide clients through the completion of physical and digital paperwork, e-authorizations, and other administrative requirements, providing clear instructions and answering questions with patience and professionalism.
  • Records Management: Help with ongoing organization and maintenance of our filing and recordkeeping IT systems, which include Google Drive, RedTail, and Dropbox.
  • Compliance Support: Assist with compliance-related tasks as needed, ensuring adherence to industry regulations and firm policies.

Pay Rate: $25/hr - $32/hr depending on years of experience
