Compensation: $27.48/hourJOB SUMMARY:This is a temporary position, working Monday through Friday, 9 AM-5 PM, with the possibility of transitioning to a full-time job. The Operations Associate is responsible for general administrative tasks, maintaining accurate property management inventory records, tracking materials purchased, managing accounts payable for goods and services, and handling accounts receivable for inter-company chargebacks between managed properties, all under the supervision of the Facility Manager.RESPONSIBILITIES:
  • Welcoming tenants and visitors, directing them to the appropriate department for assistance.
  • Work collaboratively and closely with other departments.
  • Assist with scheduling and coordinating maintenance and repairs.
  • Receive, sort and distribute mail to the appropriate recipients.
  • Perform administrative duties in accordance with company document retention policies- ensuring timely distribution, filing, copying, and scanning of management and maintenance records.
  • Coordinate and set up utility services for vacant units, including turning them off when necessary.
  • Procurement:
    • Replenish office supplies, building maintenance supplies, and office/building equipment in a timely manner.
    • Document all Purchase Orders in the Yardi system, track goods received and allocate maintenance and janitorial inventory for intercompany chargebacks.
    • Track office inventory and tenant key inventory.
    • Prepare payment requests and submit invoices to the accounting department promptly.
    • Generate monthly inventory and expense reports.
  • Ability to lift and move a maximum of 50 pounds with proper safety equipment provided.
  • Perform other tasks as required from time to time.
QUALIFICATIONS/REQUIREMENTS:
  • Strong mathematical skills.
  • Ability to multitask and manage multiple priorities while paying attention to detail.
  • Ability to interact effectively and build strong relationships with suppliers, maintenance staff, and managers.
  • Proficient in MS Office, including PowerPoint, Word, and Excel.
  • High school diploma or equivalent; additional qualifications as an Administrative Assistant or Secretary are a plus.
  • Familiarity with Yardi is preferred.
  • Language proficiency: Bilingual in English/Chinese and/or English/Spanish.
  • Ability to lift up to 50 pounds with proper safety equipment provided.
