Description of JobThe Colorado Tourism Office (CTO) Operations Coordinator provides essential administrative and operational support to the CTO Director and team, assisting with project coordination, office functions, and industry initiatives. This position serves as the main point of contact for the Colorado Tourism Board and supports event planning, fiscal operations, and various office-wide activities. The role involves managing logistics, communication, and supporting staff with their day-to-day administrative needs.Planning and Travel coordination for the CTO Director and Team
- Assists the CTO Director with coordination of meetings, speaking commitments, presentations, conference attendance, travel authorizations, travel arrangements, and travel reimbursement.
- Assists the CTO team with coordinating and scheduling meetings, webinars, workshops, and listening sessions for office initiatives.
- Support the CTO Director and Deputy Directors with staff meetings, retreat planning and other coordination.
- Other duties as requested/required by the CTO Director.
Operations Support
- With approval from the CTO Director, Deputy Director, or their designee, selects and orders promotional items and awards to support mission and events and assists in tracking inventory.
- Coordinates response to general inquiries and assists staff in sharing correspondence with tourism industry stakeholders.
- Assists Senior Fiscal Operations Manager with reporting and processes with expense reports and credit cards for Department heads.
- Serve as one of two CTO power users for OEDIT website updates and ensuring accurate, timely content enhancements.
- Ensure website accessibility by implementing requirements defined by OEDIT, industry standards, and best practices.
- Assists all CTO departments with hiring processes, compiling applications, scheduling interviews, and connecting applicants with screening tests.
- Other duties as requested/required by the CTO Director.
Colorado Tourism Board Support
- Serves as primary contact for members of the Colorado Tourism Board for general inquiries, travel reimbursement, and attendance at meetings and events.
- Prepares, distributes, and maintains regular Board correspondence, including bi-monthly board reports, meeting agendas, board calendar, board minutes, and other board materials as needed.
- Manages annual online Board Book.
- Prepares and coordinates Board orientation sessions as needed.
- Plans and implements arrangements for bimonthly Colorado Tourism Board meetings, both on- and off-site as needed.
- Assists the CTO Director and the Deputy Director of Boards and Commissions with the coordination of new board members.
Industry Partnerships and Education Support
- Support the Senior Manager of Industry Partnerships & Education in organizing the Colorado Governor's Tourism Conference.
- Assist with outreach, nomination submissions, evaluation processes, and the recognition of awardees for the Governor's Awards for Outstanding Tourism Efforts.
- Coordinate pre-planning and onsite logistics for VIPs and Board members.
- Perform other tasks as requested by the Senior Manager of Industry Partnerships & Education.
Assist with the operation of the CTO's Learning Management System, reviewing and updating content, providing user support, and generating data reports.Support the Senior Manager of Industry Partnerships in the development and activation of the National Travel and Tourism Week Toolkit.Research Coordination Support
- Coordinate the production of industry-facing marketing and educational materials containing research data. (currently the Industry Business Card - Value of Tourism)
- Develop and manage a comprehensive Master Tracker to monitor and organize all research initiatives coordinated by the CTO.
- Serve as the primary point of contact for industry partners requesting data, ensuring timely and accurate responses.
- Verify and validate existing data to create customized assets tailored to industry needs.
- Other duties as requested by the CTO Director.

Supplemental InformationSalary Range: $50,000 - $60,000 AnnuallyThis position is considered non-classified, which means the position is not part of the Colorado State Personnel System. Therefore, the individual appointed to this position is considered at-will, and is not covered by the State Personnel Rules or the State Classification System. However, this position does come with the same benefits (retirement, insurance, etc.) as every other State employee, and with the same opportunities, pride and passion that comes with working for the great State of Colorado. Even though employment is at-will, non-classified positions have protections against discrimination and retaliation in state and federal employment laws. At-will employment means that either the employee or the State may terminate the employment relationship at any time for any reason or no reason, with or without notice or cause, as long as no federal or state law is violated.A wide salary range is posted for this position and any job offer is based upon a salary analysis to comply with the Colorado Equal Pay for Equal Work Act.
