Job Description:
Position Objective: Provide services as an Operations Coordinator in support of the overall functions of the National Institute of Mental Health (NIMH) within the National Institutes of Health (NIH). Under this task order, the contractor will independently provide support services to satisfy the overall operational objectives of the National Institute of Mental Health. The primary objective is to provide services and deliverables through performance of support services. Duties and Responsibilities:
  • Provide travel support to OFT staff members, GPP Program applicants, invited guest speakers and committee members to include: submitting Data Call entries to secure travel approvals; organize travel arrangements with travel agency as needed; handle sponsor letters, Official Duty Requests, registration payments; and complete voucher for travelers.
  • Reserve rooms for seminars and events for all OFT sponsored events.
  • Fully manage OFT Director's Outlook Calendar and schedule meetings and events as appropriate.
  • Make arrangements for conferences, workshops, seminars, meetings and conference calls; contact participants and speakers and notify them of topics to be discussed; schedule room and make audiovisual reservations; prepare agendas, handouts and background materials; prepare and distribute meeting minutes.
  • Prepare and submit POTS requests as needed including SOWs.
  • Assist with the Outstanding Resident Award Program annual travel of awardees to the NIH Bethesda campus.
  • Gather and analyze information about processes and programs. 3
  • Research and advise staff on technology needs/updates such as laptops, mobile devices and monitors. 2
  • Gather, compile, analyze and evaluate data for performance management goals; implement solutions to drive continuous improvement of business processes. 1
  • Work products and documents related to supporting the OFT Director with managing and maintaining Outlook calendar. - Daily
  • Work products and documents related to OFT travel; prepare material for conferences; arrange for reimbursements; register participants - Daily
  • Work products and documents related to travel arrangements, including transportation and hotel reservations; prepare travel orders and vouchers. - Daily
Basic Qualifications:
  • Bachelor's degree in general business.
  • Skilled in SharePoint, MS Office, and WebEx.
  • Experienced in meeting minutes/summary reports, executive level support, meeting coordination, travel planning, and calendaring.
Minimum Qualifications:
  • Ability to multi-task and pay close attention to detail.
  • Excellent analytical, organizational and time management skills.
  • Strong communication skills, both oral and written.
