Our mission is to advance economic equity and foster a thriving community on Cape Ann and beyond.Job Summary: The Operations Coordinator is responsible for working with staff across the organization and with our managed IT services vendor to ensure staff technology needs are met. The Operations Coordinator provides coordination to support organization's overall operations.Hours: Monday - Friday, 9 AM to 5 PMBenefits: Medical, Dental, Vision, Paid Time Off, Holidays, Life Insurance, AD&D, Long Term Disability, EAP, 403(b) with generous match after first yearDuties/Responsibilities:Work with managed IT services vendor to ensure staff needs are met; serve as primary point of contact for staff regarding IT needs.Provide IT trainings to staff or coordinate trainings with outside providers.Onboard new staff and ensure staff understand IT protocols, software, and equipment.Provide on-site technical support as needed to staff across multiple office buildings, particularly within Microsoft Office 365 software products.Work with managed IT services vendor and Operations Manager to manage large-scale IT projects and upgrades.Manage agency-wide accounts with ISPs, mobile phone provider, and software vendors (i.e., Adobe).Manage agency-wide IT systems including Brivo building security system.Work with Operations Manager, Directors, and managed IT services vendor to set up new users with necessary equipment, access permissions in department-specific software, and appropriate training.Manage online staff portal and coordinate with marketing, human resources, and department directors to ensure content is regularly updated.Support COO and Operations Manager with ensuring smooth daily operations of organization, physical plant, programs, and equipment. Coordinate logistics for quarterly all-staff meetings, as well as trainings and/or events as needed.Responsible for ordering supplies, researching, and procuring products and equipment to meet staff needs efficiently.Handle the processing of expenses, invoices, and vendor payments, ensuring accuracy and timely submission.Attend and participate in departmental, organization-wide, and other meetings.Act in the best interest of the organization, reflecting the values of teamwork, collaboration, and mutual respect.Other duties as assigned. Required Skills/Abilities: Expert proficiency in Office 365 software required.Familiarity with SharePoint for document management, collaboration, and organizing team resources.Must have excellent organizational and project management skills.Must have strong written and verbal communication skills.Must display a proven ability to manage multiple priorities and competing deadlines.Education and ExperienceBachelor's Degree, or 5 years of relevant work experience.Physical Demands: Must be able to lift, move, and carry 20 lbs.
