Operations Coordinator - Annapolis, MDAbout the Company and Operations Coordinator Opportunity:
- CFS is partnering with a repeat client, a long term care/retirement community in Annapolis, MD. Due to a recent resignation, they are looking to hire an Operations Coordinator on a contractual basis for the next month

- Position is fully on site in Annapolis, MD

- Hours typically are 8:30am-5pm Monday-Friday
- Reports to the CFO
- Ideal start date: December 30, 2024
Job Duties for the Operations Coordinator:
- Provide executive support to the Director of Facilities on an as needed basis
- Order supplies for maintenance
- Update contracts with new rates/rate changes
- Monthly ACH collection from residents
- Update independent living census daily in MatrixCare
- Input and record posting of resident payments, charges, and credits to proper accounts
- Ensure that all AP entries and invoices are accurately entered and exported using the online AP platform
- Perform weekly check runs; import file from online AP platform
- Work with vendors to resolve accounts payable issues
- Assist with preparation and distribution of monthly bills
- Prepare daily bank deposits
- Run monthly Office of Inspector General vendor report using designated web-based platform
- Complete monthly sales and use tax reporting
- Complete all MatrixCare Marketing functions after the signing of the Resale Reservation Agreement
- Manage the independent living unit key fobs
- Manage the parking grid and Resident parking stickers
- Provide administrative office front desk support when the Office Manager is not available
- Must be familiar with emergency procedures and able to assist in the event of an emergency evacuation
Qualifications for the Operations Coordinator:- 2+ years' related administrative experience required
- Healthcare, medical and/or senior living industry experience preferred
- Experience using MatrixCare EMR system a plus
- Basic Excel skills
- Ability to do more advanced functions in Excel a plus, but not required
- Active notary license a plus, but not required
- Strong communication and interpersonal skills, good sense of humor, team player
- Ability and comfortability interacting with elderly residents
- Must be able to pass a background check
- Must have a negative PPD/TB test before starting
