Job Description:
The Operations & Executive Assistant will play a critical role in supporting the executive team, managing day-to-day operational user support for our US clients, and ensuring the efficient functioning of the organization. This dual-focused role requires a highly organized, detail-oriented professional with excellent communication skills, an ability to handle multiple tasks under tight deadlines, and strong discretion with sensitive information. The successful candidate will act as a key liaison between various departments and ensure reliable and fast support for our clients. This is a full-time, hybrid position (min. 2 days on-site) that may occasionally require flexibility with hours to accommodate executive schedules and events.What You will be responsible forExecutive and administrative supportManage executive calendars, schedule meetings, appointments, and travel arrangements.Prepare and review documents, presentations, and reports for the executive team.Assist with expense reports, billing, and tracking budgets.Provide administrative support for human resources functions, including onboarding, scheduling interviews, and tracking employee records.Manage communications, including answering phones, handling inquiries, and routing messages.Provide additional administrative support as required, ensuring a proactive approach to problem-solving.Operational user support for our customersSupport daily operational functions, ensuring smooth customer service and adherence to service level agreements.Respond to customer support requests and, if necessary, coordinate customer requests or operational activities with our project and development teams in Europe.What we are looking forBachelor's degree in business administration, communications, or related field preferred.Proven experience in an operations or executive assistant role, with 2+ years of relevant work.Excellent written and verbal communication skills.Strong organizational skills with the ability to multitask and prioritize effectively.High level of discretion and confidentiality.General knowledge of software solutions and the ability to learn new software.Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).Ability to work independently and as part of a team, handling both large and small tasks with equal diligence.Additional Skills (Preferred)Experience in software support functions.Familiarity with supply chain management and/or logistics.Experience with CRM systems (e.g., HubSpot) is a plus.What we offerPerfect timing to join Setlog as we're experiencing fast growth in the US!
