About The Role:

We're seeking a dynamic and highly organized Executive Assistant / Operations Manager to support our executive team and assist with operations and HR functions. This role is essential to the smooth running of our operations and involves a combination of administrative support, HR tasks, and operational management. If you are proactive, detail-oriented, and thrive in a fast-paced, innovative environment, Hyperbolic is the place for you! This role requires the candidate to reside in the United States. Team members are expected to work in-person in the San Francisco Bay Area at least 75% of the time.

Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to the executive team, including managing schedules, organizing meetings, and preparing necessary documents

  • Operations Management: Assist with the coordination and management of daily operational activities, ensuring efficient and effective workflows.

  • Human Resources: Support HR functions such as recruitment, onboarding, employee records management, and benefits administration.

  • Event Planning: Organize and coordinate company events, meetings, and conferences.

  • Project Management: Assist in managing and tracking various projects, ensuring they are completed on time and within scope.

  • Communication: Act as a liaison between executives and other departments, facilitating effective communication and information flow.

  • Travel Coordination: Arrange travel itineraries, accommodations, and other logistics for executives.

Who You Are:

We are looking for individuals who:

  • Have proven experience as an executive assistant, operations manager, or in a similar role, preferably in a tech or startup environment.

  • Have excellent organizational, time management, and multitasking skills. Strong written and verbal communication abilities.

  • Have proficiency with office software (e.g., Microsoft Office, Google Workspace) and familiarity with HRIS and project management tools.

  • Have Proactive Attitude: Ability to anticipate needs, take initiative, and work independently with minimal supervision.

  • Have Discretion: High level of integrity and discretion in handling confidential information.

Preferred Experience with The Following Tools:

  • HR Tools: Justworks for HR (including medical plan), Ashby for hiring and managing the candidate pipeline, Checkr and E-Verify for background checks and onboarding (as per California law).

  • Project Management Tools: Asana for task and project management.

  • Onboarding Tools: Notion for onboarding new employees.

  • Communication Tools: Slack, Telegram, GMeet.

  • Contracting Tools: DocuSign for managing contract roles and contracting.
