JOB SUMMARY AND DISTINGUISHING FEATURES OF THE WORK:
The Operations Manager serves as an in-house consultant and provides oversight and direction for operations at selected large properties, property portfolios, or properties at which the Director of Property Management deems it necessary to augment typical engineering resources.
The successful operations manager is a strategist who concentrates on the advancement of the property owner's objectives and sees to it that safety, building improvements, maintenance and operation of building systems, tenant service, and financial management of engineering functions are conducted in a manner that produces a favorable return on investment and meets the highest industry standards.
Demands of the job may sometimes require work outside normal business hours.
MINIMUM QUALIFICATIONS REQUIRED:
Education and Experience:
* A Bachelor's or higher-level degree in business or a related field is preferred.
* A degree from an accredited trade school in HVAC, electronics, or other industry-related trade is advantageous. Completion of trade-related technical training in the US Armed Forces is equivalent to a trade school degree preferred.
* A universal CFC license is required.
* A LEED designation is preferred.
* The BOMA SMA/SMT or N.A.P.E. designation is preferred.
* At least two years' experience in one or more supervisory or leadership roles.
* Five to ten years' experience in commercial or facility operations, or an equivalent combination of education, training, and experience that provides the attributes necessary to successfully perform the Operations Manager job.
ESSENTIAL JOB FUNCTIONS:
Team Management and Recruitment:
* Assist the property team leader with positioning of engineering personnel.
* Oversee the distribution of team responsibilities.
* Assist with interviews, examination of qualifications, and assessments of prospective engineering employees.
* Maintain awareness of team members' proficiency, attitudes, and potential for advancement.
* Provide guidance and assistance with staff interactions.
* Conduct and lead monthly operational review meetings with corporate leaders.
* Manage Chief Engineer.
Safety and Compliance:
* Produce training programs and direct safety training for employees.
* Provide advice for employee compliance with laws, regulations, and policies.
* Work with staff to ensure best practices for safety programs.
* Advise on identification and remediation of safety hazards.
* Oversee operations in a crisis situation.
* Observe compliance by engineering staff.
Contract and Financial Management:
* Oversee the process for bidding service agreements.
* Review draft contracts.
* Manage, review, audit and prepare budgets for utilities.
* Create various contracts as needed to meet the demands of the property.
* Advise and assist in development of the operating budget and five-year capital budgets.
* Understand and participate in reforecasting financials.
* Manage Request for Proposal (RFP) processes and service agreements.
Operational Maintenance and Improvement:
* Monitor and evaluate the operation of building equipment and systems.
* Assert oversight measures and controls over work to ensure effective contractor performance.
* Assure containment of expenses without compromising effectiveness of systems and equipment.
* Oversee implementation of the preventive maintenance program and work order program.
* Assist in the management of procurement and application of all goods and services.
* Review construction drawings and development plans.
* Supporting leasing and construction.
* Oversee and manage base building capital improvement projects.
Property Management:
* Conduct regular property inspections and assess the physical assets.
* Project and track all capital improvement needs.
* Coordinate on landlord's work and delivery of tenant space.
* Create and send Cure letters to tenants.
* Conduct and coordinate tenant move-ins / move-outs.
* Implement sustainability programs for LEED initiatives and certifications.
Utility Management and Policies:
* Oversee condenser water utility management and water treatment operations.
* Implement property management policies and best practices.
* Advise on the property's utility consumption.
* Provide feedback on the effectiveness of policies and procedures.
* Evaluate policies and forms for effectiveness and report findings.
MATERIAL AND EQUIPMENT USED:
* Personal computer using Microsoft Excel, Microsoft Word, and other computer applications
KNOWLEDGE, SKILLS, AND ABILITIES:
* Demonstrated leadership skills
* Advanced-level knowledge in fire and life safety systems
* Knowledge of local, state, and national building codes and regulations, including OSHA and fire codes
* Proficiency in use of computer applications, including Microsoft Excel, Word, and Outlook
