PRE-EMPLOYMENT SCREENINGS: Brenau University will conduct criminal background checks on all persons being considered for initial employment. In some circumstances, an FBI fingerprint report may be necessary to satisfy the requirement. Once employed, employees must hold and continue to maintain a favorable criminal history background. Random background checks are performed. Credit checks may be performed on candidates/employees who are selected for a position that regularly engages in handling credit cards or other company monies. A Motor Vehicle Report (MVR) may be performed during the hiring process, or as part of a random check. Position Summary:
The Operations Manager supports the Executive Director in the attainment of the goals established for the Department, already aligned with Brenau University's mission and strategic plan. This position will ensure efficient daily operations in the logistical implementation of departmental programs and initiatives in compliance with contractual obligations, as well as manage logistical and budgetary aspects of the Miller Institute's departmental operations.
The Operations Manager must work with students, prospective students, other units and groups across campus, other educational institutions (high schools and universities), community organizations and other related entities.
Responsibilities:
* Helps plan, organize and coordinate the logistical support for international programs, including the coordination of calendars, and the Office's calendar, to ensure the seamlessly high standard delivery of each program without creating overlaps or conflicts between them.
* Helps to plan, coordinate and deliver logistical support for international students and study abroad programs.
* Procurement and inventory management for office (with help from student workers)
* Work with the Program Coordinator to support the planning and coordination for on-campus activities.
* Supervise student worker schedules and tasks
* Connect international students to potential friendship program volunteers.
* Assists in budgeting and monitoring expenses, creating reports for records and submitting them to the Executive Director or other Executives.
* Ensures the establishment of clear and measurable objectives, results and activities to be carried out together with costing of each program, project, activity or event. Establishes measurable indicators of success and evaluates the project, activity or event accordingly. Collects and analyzes data related to international programs, events and other initiatives.
* Other duties as assigned, including clerical and administrative as needed.
Minimum Qualifcations:
* A minimum of 1 year experience working in an office/department setting; preferably in the field of international education and advising students.
* Experience managing an office budget, financial transactions, and credit card reporting.
* Experience organizing events, activities, and other engagement opportunities for students and/or comparable populations.
* Excellent oral and written communication skills.
* Excellent cross-cultural communication skills.
* Basic knowledge and understanding of multi-cultural and geopolitical issues.
* Experience working with diverse student populations.
* Must use judgment and possess the ability to recognize the appropriate procedure to apply in each situation encountered. Must be able to handle emergencies. Must minimize risks safeguarding the wellbeing of students and colleagues. Must be preemptive, anticipating and preparing for contingencies, asking supervisors for guidance if needed.
* Personal skills must include adapting to a fast-paced and rapidly changing environment. Maintaining open communication channels. Must have a positive attitude and desire to learn. Must foster an atmosphere of positive teamwork.
* Possess administrative experience. Be a self-starter, creative, well organized and detail oriented worker. Must be able to prioritize projects and tasks.
* Ability to handle sensitive and confidential information with discretion and tact.
* Ability to speak multiple languages is preferred.
Environmental and Working Conditions/ Physical Demands and Aptitudes:
Sedentary work. Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Prolonged periods sitting at a desk and working on a computer. Must have the ability to travel short distances, and/or drive a vehicle to deliver and pick up materials. Exerting up to 15 pounds of force to lift, carry, push, pull or otherwise move objects. Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker is required to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading.
Work Hours:
37.5 hours per week. Generally Monday-Friday from 8:30 am to 5:00 pm. Hours may be extended to meet the needs of the department. Some evenings and weekends.
Travel Requirements:
Some domestic and international travel may be involved.
