Our community is a tight knit group of remarkable individuals interested in intellectual inquiry and making a difference in the world.Position OverviewThe Operations & Program Coordinator will support the full range of activities and operations in the Center on National Security at Georgetown Law, including supporting academic and student programs and grant-funded projects. The incumbent has additional duties that include, but are not limited to:Coordination, Management and Operations SupportSupport coordination needs for Program Directors and Executive Director for academic and grant projects, including coordinating with relevant Georgetown departments (Centers & Institutes, communications, events, finance, travel, IT, facilities) and external partners.Schedule and coordinate meetings for the Executive Director, Program Directors, and other team members, including with external partners.Act as liaison for the Program Directors, answering questions and routing requests as appropriate.Develop guide for commonly asked student questions and needs for the JD/LLM program, serving as the Center point of contact for student inquiries and directing as necessary to program directors and other Georgetown offices.Maintain electronic records and a well-organized system for tracking, monitoring, and prioritizing tasks across multiple projects.Assist in agenda development, capturing meeting minutes and tracking key action items and outputs for select meetings at the request of the Program Directors and Center team members.Support the Program Directors in tracking, brainstorming, and planning conversations and draft follow-up planning documents, notes, and memos with action plans and updates.Ensure a timely response to urgent and outstanding issues/communications by acting as liaison with all partners.Event and Travel PlanningProvide logistical support for events such as meetings and conferences, which includes coordinating arrangements for participants, preparing and disseminating materials, catering, copies/materials, and providing on-site logistical support.Support the planning, coordination, and execution of internal and external events, workshops, and conferences.Organize travel for team members and project partners/guests, working with relevant Georgetown entities for reservations and reimbursements.Support dissemination of learnings by summarizing key milestones, working with stakeholders, and contributing to the planning of conferences.Financial Coordination, Contracts, and Reporting SupportOrganize and submit expenses on a timely basis for reimbursement.Work with all relevant Georgetown offices to submit contracts, invoices, and requisitions.Work with the Grant Manager, Program Directors, Finance Office, and C&I Office to help track and support progress of projects and budgets to complete grant reporting requirements, including financial reports, progress reports, and stakeholder milestone review meetings.Research and WritingReview and edit program/project content, including concept notes, meeting agendas and objectives, briefings, presentation slides, and publications.Contribute to the project by independently conducting research and contributing literature/analysis/thoughts.Conduct background research and analysis to support continued development, outreach, and expansion of project goals.Work InteractionsThis position reports to the Executive Director of the Center on National Security and will closely work with the Academic Program Director and the Human Security Program Director in the day-to-day operation and all functional areas within the center. They will communicate and coordinate with other staff, Georgetown University colleagues, sub-grantees, and external partners.Requirements and QualificationsBachelor's degree in public administration, international relations, or related field.Demonstrated interest in supporting law and policy programs in an academic environment, think tank, government, or NGO.Strong written communication skills including clear, concise, and accurate technical writing, editing, and proofing skills.Strong cross-cultural and interpersonal skills including flexibility to work effectively with a variety of people.Adaptable, flexible, comfortable operating in ambiguity.Demonstrated interest in national security, international law and policy, and/or justice and human rights.Strong organizational skills and attention to detail.Candidate should possess sound judgment and impeccable integrity, positive attitude, and creative outlook.A strong desire to learn and grow professionally.Preferred Requirements and QualificationsUp to 2 years administrative and/or project management experience.Budget management and grant management experience.Work Mode DesignationThis position has been designated as Hybrid/in the office 4 days and remote 1 day/week. Please note that work mode designations are regularly reviewed in order to meet the evolving needs of the University.
