The Operations and Project Coordinator reports to the AVP of External Relations and supports the Chief Growth Officer and other Growth AVPs by providing administrative support. This role must maintain a strict level of confidentiality, act with exemplary professionalism, be results-driven, and serve as a positive reflection of the organization and the Chief Growth Officer. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Operations and Project Coordinator will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.Position Expectations:
- Completes a broad variety of administrative tasks for the Chief Growth Officer including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
- Plans, coordinates and ensures the Chief Growth Officer's schedule is followed and respected. Provides gatekeeper and gateway role, creating win-win situations for direct access to the Chief Growth Officer's time and office.
- Assists the AVP of External Relations in stewardship of major donors, including drafting correspondence, mailing letters, and creating reports.
- Assists the AVP of External Relations in research and special projects in accordance with grants deliverables.
- Assists the AVP of External Relations in planning major events, for example, Scholarship America's annual gala and grant-funded convenings and summits.
- Edits and completes first drafts for written communications to external stakeholders.
- Ensures the Chief Growth Officer is prepared for meetings and events regarding the purpose, attendees, history, message delivery, desired outcome, etc.
- Follows up on contacts made by the Chief Growth Officer and supports the cultivation of ongoing relationships.
- Ensures CRM and other systems are updated as appropriate for their individual interactions with entities as well as tracking interactions on behalf of the Chief Growth Officer.
- Drafts correspondence on behalf of the Chief Growth Officer and AVP of External Relations.
- Resolves routine administrative problems and answers inquiries concerning activities and operations of the Growth team's business.
- Accepts, screens and routes telephone calls on behalf of Growth leadership; maintains log of inquiries as required.
Minimum Requirements:
- 2 to 3 years of administrative experience and experience scheduling for an executive.
- Ability to work independently with limited supervision.
- Demonstrated ability to work efficiently, effectively and cooperatively with other people reflecting a positive attitude, even in times of adversity.
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, external partners and donors.
- Strong written and verbal communication skills.
- Demonstrated proactive approaches to problem-solving with strong decision-making capability.
- Highly resourceful team-player, with the ability to also be extremely effective independently.

- Home (work) location in Eastern Time Zone to align with the Chief Growth Officer.
Full Pay range: Exempt ($57,700 - $66,200 - $75,800)This is the pay range for our staff in this position, from entry to fully independent and proficient in the role utilizing our propriety systems and processes.
