We are seeking an Operations Specialist: Air, Sea and Projects to join our team! As an Operations Specialist, you will play a pivotal role in overseeing and optimizing global supply chain operations, with a primary emphasis on ocean freight, airfreight, and project cargo. Leveraging your extensive experience, you will lead the planning, execution, and coordination of cross-border shipments by sea and air, ensuring compliance with regulations and the seamless movement of goods. This role extends to quoting, follow-up, operational execution, and invoicing, making it crucial for the successful management of end-to-end international logistics operations, including project cargo.
Responsibilities:
Ocean Freight, Airfreight, and Project Cargo Management:
- Oversee end-to-end international logistics operations with a specific focus on ocean freight, airfreight, and project cargo.
- Develop and implement strategies to enhance the efficiency and cost-effectiveness of these specialized cargo movement
​Quoting for Ocean, Airfreight, and Project Cargo:
- Analyze customer requirements and specifications to prepare accurate and competitive commercial quotes.
- Prepare comprehensive and competitive quotes for clients based on the specific requirements of service requirements including and not limited to ocean, air freight, bulk, breakbulk, RORO freight and stevedoring services and relevant supporting requirements e.g. crating and packaging.
- Collaborate with the internal and external teams to ensure accurate and competitive pricing.
- Collaborate with sales and business development teams to understand customer needs and market trends.
Follow-Up and Customer Communication:
- Maintain regular communication with clients to address inquiries, provide updates, and gather necessary information for Proactive and adaptable to changing circumstances.
- Ensure timely responses to client queries and concerns related to ocean, airfreight, and project cargo.
- Foster effective communication and coordination among international stakeholders, including suppliers, distributors, and partners.
Operational Execution:
- Coordinate the operational aspects of international shipments, including booking with carriers, arranging transport, and managing customs clearance for ocean, airfreight, and project cargo.
- Collaborate with various stakeholders to ensure smooth execution of operations.
- Liaise with various stakeholders, including carriers, customs brokers, and internal teams, to ensure timely and accurate execution of shipments.
- Monitor project progress, identify potential risks, and implement corrective actions as necessary
- Invoicing and Documentation:
- Maintain organized and up-to-date records of all shipments, ensuring compliance with relevant regulations and standards.
- Monitor and track the progress of shipments, providing timely updates to internal and external stakeholders.
- Generate accurate and timely invoices for services rendered in ocean, air, and project cargo transportation.
- Ensure proper documentation and record-keeping for invoicing purposes.
Compliance and Regulations in Ocean, Air, and Project Cargo Transportation:
- Stay updated on international trade laws, customs regulations, and compliance requirements related to ocean, airfreight, and project cargo.
- Ensure adherence to industry-specific regulations governing these specialized cargo movements.
- Carrier and Forwarder Collaboration:
- Establish and maintain strong relationships with ocean carriers, airlines, and freight forwarders for both standard cargo and project cargo.
- Negotiate contracts and service agreements specific to ocean, airfreight, and project cargo to secure favorable terms.
- Identify and evaluate potential suppliers and service providers for sea freight, airfreight, and project-oriented cargo.
- Negotiate terms, rates, and service agreements to ensure cost-effectiveness and high-quality services.
- RiskManagement in Specialized Cargo Operations:
- Identify potential risks in ocean, airfreight, and project cargo transportation and implement effective mitigation strategies.
- Monitor industry-specific changes and geopolitical factors affecting these specialized cargo logistics.
Process Improvement in Specialized Cargo Operations:
- Continuously evaluate and improve international logistics processes for ocean, airfreight, and project cargo transportation.
- Implement best practices and technology solutions to optimize operational workflows in these specialized areas.
- Cross-Functional Collaboration in Specialized Cargo Logistics:
- Collaborate with internal teams such as procurement, sales, and finance to align international logistics, with a specific focus on ocean, air, and project cargo transport, with overall business goals.
- Provide guidance and support to junior operations staff specializing in these specialized cargo areas.
