Job Description:

Bluewater is seeking an Operations Specialist who will drive sales effectiveness through the maintenance and optimization of key sales operations and accounting processes. This role involves verifying deal accuracy, adhering to company policies, and ensuring that all sales transactions are efficiently and correctly entered into accounting software. The Operations Specialist will collaborate closely with sales, finance, and other departments to ensure compliance with company procedures and facilitate timely billing and reporting.

Key Responsibilities:

  • Deal Review and Triage: Review sales deals and contracts for accuracy, completeness, and adherence to company policies. Resolve discrepancies or missing information before processing.
  • Sales Order Management: Convert quotes and sales orders from the sales system into the accounting software, ensuring accurate and timely data entry.
  • Compliance and Policy Adherence: Ensure that all deals follow company policies and procedures, including terms and contract agreements.
  • Cross-Department Collaboration: Function as a liaison between sales, finance, and other relevant teams to resolve issues and ensure smooth deal processing.
  • Documentation and Record Keeping: Maintain organized and up-to-date records of all sales transactions and relevant documentation for audit and reporting purposes.
  • System Updates and Process Improvements: Identify opportunities to streamline processes and enhance operational efficiency, working with internal teams to implement improvements.
  • Issue Resolution: Address and resolve any errors or discrepancies related to deal processing, billing, or order fulfillment in a timely manner.
  • Reporting and Metrics: Generate reports on deal status, processing times, and other relevant metrics to ensure transparency and operational performance.

Qualifications:

  • 1-4 years in a sales operations or support function.
  • Proficient in CRM software and Microsoft office suite.
  • Familiarity with accounting principles, including invoicing, and receiving.
  • Highly detail oriented.
  • Entrepreneurial spirit and energy with a passion for customer service.
  • Rudimentary understanding of logistics coordination is a plus.
  • Highly adaptive individual with a knack for working in fast-paced environments.

Job Type: Full-time

Pay: $55,000 – $70,000 per year
