OVERALL RESPONSIBILITY

SPECIFIC RESPONSIBILITIES
Representation- Be the primary internal facing representative of the Center
- Represent the Center in a manner consistent with the Core Values of the Center
- Execute the approved Strategic Plan
- Recommend enhancements consistent with Core Values, Mission and Goals
- Identify and develop relationships appropriate for the Center and our Associates
- Maintain accurate records
- Work with CEO and President to communicate relevant information in a timely manner
- Execute the approved Strategic Plan consistent with Core Values, Mission and Goals
- Maintain accurate records
- Answer telephone courteously and timely
Associate and Partner RelationshipsEstablish and maintain good business relationships with Associates, Partners and their employees
Oversee moves to, within and from the Center to minimize disruptions and to protect Center assets
Resolve complaints regarding facilities and services within budgets, policies and related guidelines in a timely manner
Financial Accounting
- Maintain accurate accounting and financial records
- Manage facility contracts
- Review invoices for accuracy and contract
- Manage facility expense consistent with budget
Manage Activities of Associates/ Prospects
- Assist visitors with conference room needs, i.e.. A/V, furniture arrangement
- Assist with informing new Associates regarding policies, practices and procedures
- Manage the services provided to Associates to meet quality, cost and timeliness objectives:
- Telephone
- Internet
- All general inquiries
Materials and Supplies
Purchase all materials and supplies for the Center
Negotiate price, terms and delivery
Control inventories, oversee spending on janitorial supplies by contractor
Facilities Management:
- Open and Close the Center (i.e. general security checks, facility walk through)
- Establish and maintain sound business relationships with service providers and vendors under contract with the Center
Maintain such equipment as fax machines, printers, copiers. Have adequate operating supplies such as toner ink, paper, etc.
- Maintenance, moving and rearrangement activities (i.e., furniture moving, changing light bulbs, shoveling snow, etc.)
- Scheduling vendors i.e.: painters/carpet companies, plumbers, electricians, etc.
- Manage the Center's telephone/internet service, computers, operations, HVAC and other building services in an efficient and cost effective manner
- Manage support activities including calendar and conference room access, security, restroom, cleaning, recognizing Associate needs for 24/7 access
- Regular review of Associate Service Agreements for compliance and annual increases
Purchasing after prudent negotiation:
- Office supplies (oversee Janitorial contractor spending)
- Cleaning/maintenance services
- Copier Supply maintenance and lease
F. Planning: Contribute to the development of such Center plans as
- Annual Operating Plans and budgets
- Receive pricing and maintain Insurance for liability on facilities, Board of Directors, Worker's Compensation
G. Mentoring Program: Assist in Program, including
- Provide emotional support on daily basis to Associates
- Provide guidance to Associates so they meet with appropriate partners to grow and manage their business
Capabilities
- Can lift and maneuver basic office supplies such as paper, computer, etc.
- Can maneuver through physical environment at our center
- Can manage in an environment with multiple people from different constituencies (i.e. staff, clients, community partners)
- Can remain calm in emergencies and other emotionally charged situations
- Can communicate electronically, telephonically and in person
Educations and Qualifications
- 3 or more years of experience in Operations or Facility Management
- Strong understanding of Operations and Facility Management skills and processes is preferred
- Technological focus in office environment
- Experience in business management, operations, accounting/finance, coaching, counseling and facility management is preferred
- Strong understanding of the entrepreneurial process is preferred
- Strong understanding of the effect of small business on a community is preferred
