Overview:
World Wildlife Fund (WWF), one of the worlds leading conservation organizations, seeks a Operations Team Coordinator.
Major Functions
The Operations Team Coordinator is responsible for the coordination of day-to-day administrative activities and logistics for the staff of the Operations and Conservation Strategy teams of the Country Office Unit (approx. 10 FTEs) This position uses administrative skills, organizational skills, and knowledge of the organizations programs and policies to work closely with key functional areas including Strategic Operations, Financial Management, Risk Management, Communications, Business Analysis, Knowledge Management, Technology, and Conservation Strategy. This position will also assume a small number of technical responsibilities in support of those functions, where capable.
Salary: The expected compensation range for this position is $43,900 to $54,900
Responsibilities:
- Manages meeting logistics for the Director of Operational Excellence, COU including note taking, development of presentation materials, follow-ups, etc.
- Responsible for logistical support for the Director of Operational Excellence, COU, COU Operations team, and COU Conservation Strategy team including:
- Supporting complex agenda arrangement for COU team members
- Supporting travel logistics and expense coding
- Use of Docusign and signature and approval processes
- Under the direction of the Director of Operational Excellence, COU, designs training materials for COU Operations team.
- Works in close coordination with Internal Communications & Knowledge Manager in the planning and execution of strategic events and conferences lead by the Director of Operational Excellence, COU in the areas of logistics and production.
- Supports the Internal Communications & Knowledge Management Lead in the design and update of the COU Intranet page and basic content upkeep for Country Offices.
- Supports the Operational Transformation and Efficiency Lead on routine collection of data for management dashboards including follow-up with Country Offices, user support on various collection tools, and basic data prep.
- Maintains records for COU in coordination with the Grants and Compliance Manager (i.e., Bank authorizations, Signing Authority, Local Government Agreements, Requirements for Compliance with Local Legislation).
- Supports the Grants and Compliance Manager on the preparation and monitoring of COU agreements for grantees and consultants.
- Supports the Program Administrator for COU on special tasks as appropriate, including funding proposals preparation; budget execution monitoring; expense coding.
- Creates and maintains community with the Strategic Coordinator, COU & Program Operations to foster collaboration on mutual projects and development of sharing and learning spaces.
- Provides administrative support to staff in the DC office for printing, mailing, and other needs, as appropriate.
- Perform other duties as assigned.
Qualifications:
- A bachelors degree or equivalent experience is required. Previous experience working in an administrative capacity highly preferred. Any experience in areas related to operations, financial management, risk management, communications, business analysis, knowledge management or technology, not required but a plus.
- Experience in logistics support for events and workshops strongly preferred
- Energetic, forward thinking, creative individual with high ethical standards
- Exceptional interpersonal and relationship-building competencies coupled with strong written and verbal communication skills
- Ability to work effectively on a variety of simultaneous initiatives and issues
- Proven ability to work independently as well as collaboratively in a matrixed team environment
- Proven detail oriented and organized individual able to prioritize from a diversity of requirements
- Familiarity with Microsoft office software (Word, Excel, PowerPoint); experience with datasets, PowerBI, and/or PowerAps a bonus
- Position requires fluency in English and Spanish (written and spoken)
