This is work performing routine reception and clerical functions. Responsibilities would include answering phones, providing information to callers, receiving visitors, data entry and assisting staff with various clerical tasks.Duties include scheduling meetings, maintaining calendar, processing expense vouchers, travel arrangements, maintain office filing system, and other administrative duties to help manage the day to day operations for the Office of Administration.Access Juvenile Justice Information System (JJIS) client database to determine assigned Juvenile Probation Officer (JPO). Enter client data into Juvenile Justice Information System (JJIS) for all new referrals, case transfers, change in case status, termination and other actions as appropriate.Processes complaints received from the Juvenile Court, opens and maintains JJIS system on all juvenile referrals. Utilizes the Criminal Justice Information System/Comprehensive Case Information System (CJIS/CCIS) and other computer databases as required. Updates system on a daily basis. Maintains control system and performs purging process for closed files. Assists with closed records duties.Opens incoming mail and routes mail to appropriate individuals.Locates and attaches appropriate file to incoming correspondence requiring reply.Files correspondence and other records.Makes copies of correspondence and other printed matter.Greets and welcomes visitors, determines nature of business, and conducts visitors to employer or appropriate person.MINIMUM REQUIREMENTSHigh School diploma or its equivalent.PREFERRED REQUIREMENTSPreference will be given to candidates with:A valid driver's license.Clerical or administrative experience.Experience working on office equipment - copiers and fax machines.Experience working with Microsoft Office and Excel programs.Experience in the development of databases, spreadsheets and reports to track statistical data.SPECIAL NOTESCandidates applying for this position must list all places of employment, to include interning, volunteering & periods of unemployment.
