The Order Management Specialist plays a critical role in ensuring Horizon Hobby's retailers have a seamless and efficient ordering, delivery, and receiving experience. This position is responsible for supporting the continuous improvement of the retailer ordering process, ensuring timely and accurate order fulfillment, and contributing to overall service excellence. As a key member of the Wholesale Sales team, the Order Management Specialist is integral to enhancing customer satisfaction and operational efficiency across the entire order lifecycle.
Roles & Responsibilities
* Sales Support: Collaborate with the sales team throughout the sales cycle to assist with order entry, enhance sales efficiency, and ensure customer needs are met at every stage of the order process.
* Order Lifecycle Management: Partner with the Wholesale Account Manager to monitor and manage orders from placement through to completion, ensuring all orders are processed accurately and delivered on time.
* Customer & Internal Communication: Serve as a liaison between retailers and internal departments, proactively resolving issues and facilitating effective communication to improve customer satisfaction and operational efficiency.
* Manage inbound and outbound communications: Address customer inquiries related to orders, deliveries, product availability, and inventory, providing timely and accurate responses to ensure a positive experience.
* On-Time Shipment Assurance: Monitor warehouse operations and logistics as needed to ensure that all orders are shipped on time, meeting customer expectations.
* Shipment Tracking & Coordination: Oversee the tracking of inbound materials, coordinate shipment and delivery schedules, and collaborate on maintaining inventory accuracy throughout the process.
Education and/or Experience
* Exceptional Communication & Customer Service Skills: Demonstrated ability to communicate effectively with both internal teams and external customers, fostering positive relationships and resolving issues efficiently.
* Strong Organizational & Time Management Skills: Proven ability to prioritize tasks, manage multiple responsibilities, and meet deadlines in a fast-paced environment.
* Technical Proficiency: Advanced knowledge of Microsoft Office Suite and other relevant software systems, with the ability to quickly learn new technologies.
* Problem-Solving & Attention to Detail: Strong analytical skills with a keen attention to detail, ensuring accuracy and effective resolution of issues.
* Adaptability in a Dynamic Environment: Ability to thrive in a high-volume, fast-paced environment while maintaining a positive, solution-oriented attitude.
* Familiarity with ERP Systems: Solid understanding of ERP systems and their application in managing order processing, inventory, and customer data.
