The Paralegal will provide support to the Legal Department over a wide range of matters, including corporate governance and record retention, investment and service contract document preparation and maintenance, regulatory compliance, review and analysis of legal documents, and responding to litigation, government agency and participant requests. The Paralegal will assist with preparing internal report and presentations and is responsible for initiating and coordinating the administrative duties in the Legal Department. Requirements •Prepare and maintain investment contracts (organize incoming documents and maintain electronic database of related agreements, amendments, memorandums, notices, etc.; maintain spreadsheet of investment information; draft responses to subscription documents and questionnaires; coordinate timely execution and submission of investment documents, including with other internal departments; collect periodic reports and communications from investments) •Prepare redemption forms; draft responses to AML/KYC questionnaires and compile the necessary documentation, including preparing certifications of Y Retirement officers; prepare regulatory notices and filings such as the National Futures Association exemption, reviewing stock distribution notices when received from investment managers and most favored nation side letter requests when received from investment managers •Coordinate the review, processing and responses to qualified domestic relations orders, subpoenas and garnishments •Review powers of attorney, trust documents, and estate documents for compliance with applicable state laws gathered through research •Gather organization's contracts with vendors and service providers and maintain electronic database, including contract analysis reports •Complete, file and maintain litigation records, including coordinating document and information gathering from other departments •Manage corporate governance matters (preparation, organization and maintenance of materials for board and committee meetings)) •Prepare and maintain corporate secretarial records (secretary certificates, vote tally for organization's annual meeting) •Maintain and update a well-organized electronic and paper inventory of plan documents, plan amendments, related filings and communications •Perform administrative duties and support functions for the attorneys in the Legal Department, including preparing PowerPoint presentations and proofreading publications POSITION REQUIREMENTS: Education (minimum needed): •Bachelor's degree Experience (minimum needed): •2-3 years paralegal, benefits professional or legal assistant experience, preferably at a large law firm, pension plan administrator or financial services company •Proficiency with Microsoft Office and Adobe Acrobat applications and basic skill level in web-based research •Experience in the use of a document management system preferred Specialized knowledge needed: •Knowledge and an understanding of the pension or financial services business including customer service or a demonstrated capacity to quickly learn these areas. Experience in or a basic understanding of ERISA would be helpful. Specialized skills needed: •Ability to handle privileged, confidential and sensitive information in an appropriate and professional manner •Extensive writing skills, including the ability to prepare legal documents and other legal correspondence •Ability to coordinate directly with a wide variety of outside counsel, court employees and government agency representatives •Proactive, problem-problem solving attitude and strong work ethic without extensive supervision, but ability to identify and escalate matters that require attorney input •Ability to prioritize and complete multiple tasks under time constraints •Strong attention to detail and excellent organizational skills •Analytical skills and the ability to synthesize information Salary Description $68,000.00 - $89,000.00
