The base pay range provided is subject to change and may be modified in the future.Position OverviewThe Parking Administrative Coordinator plays a vital role in ensuring smooth and accurate departmental operations. While not limited to the duties of the Event Parking Supervisors, the Administrative Coordinator updates the Parking Department financial data, produces profit and loss reports, and collaborates with the Finance team to ensure payments and postings are accurate and timely.Essential Duties and Responsibilities:
- Maintain awareness of upcoming events schedule and anticipate increase or decrease in the number of parking staff required to host an efficient and successful parking operation.
- Event Tasks and Responsibilities:
- Host parking attendant briefings, highlighting specific event needs and timelines.
- Assigns team members rest and meal breaks in a timely, efficient manner in alignment with company policy.
- Appropriately delegate tasks when deploying staff to parking positions.
- Delegate tasks and position parking staff to optimize ingress and egress while assuring all critical positions are properly positioned.
- Manage SAP Center's ABC lot ingress by determining expected capacity levels. Using historical data if available.
- Ensure the proper set up and management of ADA, premium, suite guest and player wives' spaces.
- Manage the restriction count to ensure efficient operation of the ABC Lot with a focus on revenue optimization.
- Prepares color-coded receipt rolls, and devices for all parking cashier positions.
- Reconciles devices at the conclusion of each event, inspecting for damage, ensuring their proper care, and charging.
- Assist SJPD in the positioning of traffic control personnel.
- Manage the Ingress and egress at the bottom of ABC Lot's Santa Clara and Montgomery ramps
- Assists in the management and placement of traffic and crowd control activities.
- Assist in the management of large crowds at the Arena Event Loading Area (AELA) Gate
- Reconciles all parking cashier parking sales and process any refund requests.
- Prepare and send email parking event recaps to appropriate personnel.
- Input critical data accurately into spreadsheets used for financial tracking and sales optimization.
- Audit employee time and attendance in ABI, correcting discrepancies.
- Prepares event labor cost email recap.
- Input Article 19 attendance points in ABI for staff that cancelled shifts, were tardy, or no showed.
- Communicate any payroll issues with the manager and the payroll team.
- Non-Event Tasks and Responsibilities:
- Assists in the hiring process by interviewing applicants.
- Act as a lead trainer during training events as scheduled by the Parking manager.
- Prepare for the Parking manager the necessary documents for onboarding or termination.
- Ability to perform monthly scheduling of employees for daily operations or event staffing in ABI. Utilizing team member's inputted availability and preference selections.
- Scheduling based on staff ranking scores as found in the Parking Depth Chart.
- Schedule replacement employees for events when an employee cancels a shift.
- Keep the parking office organized and clean.
- Return damaged ParkHub devices to vendor for repairs (RMA)
- Performs miscellaneous department job-related duties as assigned by the Parking Manager
- Must be actively engaged with knowledge of current parking department processes.
- Update and record financial data for every event as well as revenue captured from daily parking operations.
- Complete and submit the monthly Milligan Lot financials packet.
- Complete and submit the monthly SCCDT & JPB Lot Financials / Diridon Lot / Cahill financial packet.
- Process all monthly rent payments for the following locations:
- Almaden Financial Plaza
- Lot D Rent
- Produce Quarterly Google Profit and Loss Reports
- Review and reconcile revenue from season seat member and single-event pre-paid sales.
- Assemble reports on prepaid parking redemption.
- Collaborate with the Finance team to ensure payments and postings are accurate.
- Effectively communicate and collaborate with partners (Ex. SpotHero/SP Plus/Comerica Bank/ParkHub/GOOGLE) of Sharks Sports & Entertainment and San Jose Arena Management on parking financial issues.
- Updates the labor and revenue Parking tracker.
- Process bi-weekly reporting of SJPD labor for officer payment.
- Assist in Payroll approval and verification.
- Produce Purchase Orders through S4Hana
- Process invoices for lots utilized by San Jose Arena Management.
- Analyze and create action plans based on guest survey analysis.
- UX interactions and analysis with both fans and the parking team to help analyze patterns and behavior for training purposes.
- Cultivate relationships with partners and parking lot owners.
- Assist with keeping Parking agreements up to date.
- Attend department and/or company meetings as a representative of the Parking Department.
- Other duties as assigned.
Minimum Qualifications
- Bachelor's degree or equivalent combination of experience and/or education
- 2+ years of relevant experience.
- Excellent communication skills, both verbal and written.
- Ability to handle customer inquiries and complaints professionally and efficiently.
- Organizational skills to manage schedules, coordinate parking logistics, and handle administrative tasks.
- Ability to effectively collaborate and build strong working relationships internally and externally.
- Basic mathematical skills for reconciling revenue and reporting purposes.
- Familiarity with computer systems and software for data entry and record keeping.
Physical Requirements
- Ability to sit, stand and utilize a computer for extended periods of time.
- Communicate via phone and email with a variety of individuals.
- Ability to bend at the waist, reach overhead and lift up to 15 lbs. with or without accommodation.
- Physically navigate stairs and catwalks at SSE facilities during normal work hours and events with or without accommodation
- Ability to work outside in various weather conditions.
- Ability to work occasional extended hours including nights, weekends, holidays (all with advance notice)
- May be required to travel to other company locations.
- May be required to attend conference, events, and training sessions within Bay Area or in- or out-of-state locations.
