Job DescriptionESSENTIAL FUNCTIONS OF JOB:
Receives assignments from the Business Manager to successfully execute various accounting tasks. Assists with daily deposits from kiosk, reconciles said funds, then prepares and deposits the funds in the appropriate account. Charges inmate accounts fees due for medical service, notary fees, restitution and/or the booking fee. Responds to inmate requests for information regarding inmate accounts. Assists with all tasks related to Court Orders regarding lawsuit filing fees. Assists with posting transactions to inmate accounts; researches any discrepancies and other inmate account inquiries. Assists in the processing of payroll for inmates participating in a work detail assignment. Answers phones and routes calls and/or takes and distributes messages; receives and routes department correspondence. Reviews invoices for accuracy on goods delivered. Assists in the preparation of monthly reports. Maintains confidentiality of all business records and documents. Performs related tasks, as necessary or as assigned such as scanning and filing. OTHER DUTIES OF JOB: Attends meetings, seminars and training as required. Performs other job-related duties as required. Interacts with staff, other departments, recently released inmates, and the public on department related matters. SUPERVISION RECEIVED: Receives instruction and supervision from the Business Manager and other members of the Administrative Leadership Team. SUPERVISION GIVEN: None WORKING CONDITIONS: Works indoors in limited workspace with fluctuating temperatures and ventilation. Works indoors with frequent exposure to noise, disruptions, and stress. Normal indoor exposure to dust/dirt. PHYSICAL/MENTAL CONDITIONS: Must possess ability to record, convey and present information, explain procedures, and follow instructions. Must be able to sit for long periods throughout the workday, with intermittent periods of standing, walking, bending, twisting, reaching, stooping, and grasping as necessary to carry out job duties. Dexterity requirements range from simple to coordinated movements of fingers/hands, feet/legs, and torso necessary to carry out job duties. Sedentary work, with occasional lifting/carrying of objects with a maximum weight of ten pounds. Must be able to cope with the physical and mental stress of the position. Must be able to pay close attention to details and concentrate on work. Must demonstrate resourcefulness in decision making and problem solving. QUALIFICATIONSA. EDUCATION/TRAINING: Graduation from high school or an accredited equivalency program, with coursework in business English, secretarial science, and/or clerical studies. It is expected that the successful candidate will attain, within one (1) calendar year of appointment, certification in first-aid, automated external defibrillator use, and cardiopulmonary resuscitation and will maintain such certification for the duration of her/her employment. The successful candidate will satisfactorily complete all training necessary for employment in a Prison setting. B. WORK EXPERIENCE: Three (3) years' experience in administrative work. Any acceptable combination of education and work experience KNOWLEDGE, SKILLS AND ABILITIES REQUIRED: Must be able to speak and understand the English language in order to carry out essential job duties. Must possess knowledge of standard modern office procedures. Must possess some technical knowledge and skill in the operation of standard business machines, including personal computers, copiers, calculators, scanners, fax machines, and shredders. Must possess skill in filing accurately, with reasonable speed. Must possess skill in typing accurately, with reasonable speed. Must possess skill in prioritizing and coordinating concurrent work assignments. Must possess the ability to carry out oral and written instruction. Must possess effective communication and interpersonal skills. Must possess initiative and problem-solving skills. Must possess the ability to function independently, have flexibility and the ability to work effectively with employees. Must possess ability to maintain confidentiality in an inherently stressful environment. Must possess the ability to make independent decisions when circumstances warrant such action. Must possess knowledge of Prison Emergency plans and procedures. Must possess or obtain skills in first aid, cardiopulmonary resuscitation (CPR), and use of the automatic external defibrillator (AED).
