Description The department of Athletics at West Virginia University is currently accepting applications for a Part-Time Assistant Payroll Specialist. About the Opportunity This position will manage and execute payroll processes for student workers, work study student workers, temporary employees, game workers, camp workers, and sporadic workers. The Assistant Payroll Specialist will ensure that employees are paid accurately and on time, in compliance with company policies and federal/state regulations. This role will also support the HR and Finance teams in payroll-related tasks, ensuring the highest level of confidentiality and accuracy. What You'll Do
- Process bi-weekly or monthly payroll for classified employees, game workers and sporadic workers.
- Verify employee timesheets and work hours with supervisors and input hours as well as correct time sheets when needed.
- Input hours worked for game and camp workers into the Applaud system per supervisor requests.
- Maintain accurate payroll records and update employee information in the payroll system.
- Address employee payroll inquiries and resolve issues related to pay discrepancies, deductions, and benefits in collaboration with the central payroll office.
- Ensure compliance with federal, state, and local payroll, wage, and hour laws.
- Process adjustments to pay related to overtime, or other compensation.
- Prepare payroll reports for management and accounting purposes.
- Collaborate with HR and Finance teams to ensure alignment with compensation structures and policies.
- Support audits related to payroll.
- Submit all employee requisition forms for new and existing employees, including camp workers, student workers, and game and event workers. Initiate background checks for all new employees and
- employees requiring background check renewal.
- Communicate hiring processes and procedures to supervisors and hiring managers for camp workers, work-study students, and game/event staff.
- Assist with onboarding and off boarding tasks
- Oversee the Graduate Assistant hiring and payroll processes
Pay Grade: 14 Work Hours: 8:30am-12:30pm Monday - Friday
Qualifications - Associate's degree in accounting, finance, or a related field.
- A minimum of two (2) years of payroll processing experience.
- All qualifications must be met by the time of employment.
Knowledge, Skills, & Abilities
- Proven experience as a Payroll Specialist or in a similar role.
- Familiarity with payroll software (e.g., Applaud, MAP or similar platforms).
- Strong knowledge of federal, state, and local payroll regulations.
- Proficiency in MS Office, especially Excel.
- Excellent attention to detail and strong numerical aptitude.
- Ability to maintain confidentiality and handle sensitive information.
- Strong organizational and time management skills.
- Good interpersonal and communication skills.
- Ability to work independently with minimal supervision.
Preferred Qualifications:
