The Clerk will also assist with Public Relations matters/projects when necessary.Under close supervision, performs routine, repetitive clerical work involving the processing of documents in a variety of functions; does other related duties as required. Examples of DutiesCopyeditor: Check for and correct errors in grammar, spelling, and punctuation of Graphic Artist's work including posters, flyers, bookmarks, signs, and various other projects. Check for technical consistency in spelling, capitalization, font usage, numerals, hyphenation, artwork, dates, times, proper wording, and spacing. This work is then given back to the artists for correction before distributing to the branches.Administrative Duties: Various duties including but not limited to the following:
- Taking notes at staff meetings and preparing for distribution.
- Assisting with organizing monthly Director's Report information to submit to the Librarian 4 of Public Relations.
- Emails to staff regarding requests for clarification, additional information.
JPEGs Excel List: Culminate a list of approved and corrected posters/flyers, work, etc. of each artist to help track the progress of staff requests. This list is also provided to the artists so they can upload the artwork when complete.Distribution Process for Signs:
- Cut & Tack: Cut seal guard and tack to poster board. Tack poster to board to prepare for heat press. Cut laminating film for requests for backed and stand laminated posters.
- Heat Press: Put posters into heat press to adhere poster to board.
- Cutting Board: Remove poster board from heat press and cut edges to make a neat finish.
- Stands: Adhere stands to proper fitting on back of Poster Board (many sizes depending on artwork size).
- Flyers: Print and cut flyers for distribution.
- Duplicator: Used to make large quantity copies of bookmarks, applications, etc.
- Heavy Duty Cutter: Cut large volumes/reams of paper for bookmarks, signs, etc.
- Laminator: Operate laminator machine for poster requests that require laminating.
- Folding Machine: Use machine for folding large quantities of pamphlets, applications, etc.
Distribution of outside vendor materials (bookmarks, promotional materials): Count, pack, and distribute materials to branches based on staff requests. Requests are submitted through Microsoft Teams and in turn emailed directly to Printing & Graphics.Summer Reading/S.A.I.L./Reading Buddies: Assisting with proofing calendars for Summer Reading, as well as preparing Summer Reading materials for distribution to all locations (calendars, posters, worksheets, certificates, coloring sheets, etc.). S.A.I.L. materials and reading Buddies materials are also handled similarly.Please note that the above duties provide a sampling of what is to be expected.
