BUT we've just begun to scratch the surface... And that's where YOU come in... This is a Hybrid (Piscataway, NJ) part-time (20-25hrs/week) position on our sourcing team. Hourly Rate: $19.00The Big Picture: The Purchasing Data Entry will support the Supply Chain Operations of SwagUp by facilitating the timely and accurate procurement of goods from our supplier base with great attention to detail. The Purchasing Data Entry will provide exceptional customer service and communication to both internal and external stakeholders. The Purchasing Data Entry will accurately input product and supplier data based on incoming requests from supply chain, sales, and marketing teams while adhering to all compliance regulations. They will also be responsible for routine communication with vendors as well as invoice reconciliation. The Day-to-Day: - Ensure a smooth full-cycle process starting when orders are submitted until items are received in the warehouse. - Review and prioritize incoming purchase orders from supply chain, sales, and marketing teams. - Accurately input customer details (files, locations, dimensions, ink colors, shipping addresses, sizes etc.) - Maintain accurate records of vendor agreements, compliance documents, and product specifications to ensure consistent record keeping. - Address product concerns and questions regarding pricing and decoration capabilities. - Review and reconcile vendor invoices against purchase orders and received goods. - Investigate and resolve discrepancies in invoicing promptly. - Monitor the status of open orders and proactively identify any potential delays or issues. - Ensure all product and supplier information is accurately entered and maintained in the system. - Work closely with the sales, marketing, and supply chain teams to ensure alignment on order requirements and priorities. - Participate in cross-functional meetings to discuss procurement strategies and performance. - Communicate any general supplier announcements or updates to the revenue teams. - Other miscellaneous tasks as the business needs demand. The Right Person for the job has: - Self-motivated individual who strives to go above and beyond to do what's best for customers. - Strong ability to manage data accurately and meticulously. - Excellent verbal and written communication skills for effective interaction with internal teams and external vendors. - Experience working with multiple vendors to fulfill POs. - Ability to manage multiple tasks and prioritize effectively in a fast-paced environment. - Can work simultaneously on multiple projects. - Familiarity with Salesforce. - Experience with screen printers and embroiderers would be a plus - but not required. - Enjoys working in a collaborative environment where everyone pitches in. - Ability to work under pressure and tight deadlines. - Thrives in a fast-moving environment where things are always changing. - Questions the status quo and isn't afraid to speak up. Preferred Education & Experience: - Fundamental computer literacy required. - Experience with Google Suite or Microsoft Office. - Understanding of procurement processes, vendor management, and compliance regulations. - 1-3 years of experience in procurement, supply chain, or operations, preferably in the promotional products industry.
