Job Title: Meeting Support Specialist

Job Summary: The Meeting Support Specialist is responsible for setting up training and conference rooms, assisting Floor Hosts with meeting support, providing Audio Visual (AV) services as needed, and handling catering setups. The role includes ensuring rooms meet client specifications, maintaining room appearance, and managing client interactions to ensure satisfaction.

Shift: Set shift from 1:00pm - 7:00pm, Monday - Friday (30 hours or less a week)

Pay - Rate: $20.50/hr

Essential Job Functions:

  • Setup and Room Management: Set up training and conference rooms according to client specifications, including moving airwalls, placing materials on tables, and ensuring the room meets client expectations (lighting, AV equipment, temperature, etc.).
  • Catering Setup: Coordinate and set up catering for meetings, ensuring food and beverages are delivered and arranged according to client requests and specifications.
  • Daily Room Monitoring: Monitor meeting rooms for scheduled timing, participant arrivals/departures, and room conditions. Perform regular floor tours to maintain the space in optimal condition.
  • Customer Interaction: Provide excellent customer service, respond to inquiries via email, phone, and in person, and ensure client needs are met. Use problem-solving skills to identify solutions for customer concerns.
  • AV Support: Provide basic AV services and ensure all equipment is properly set up, used, and stored.
  • Room Cleanup and Organization: Clean up after meetings, ensuring all materials are returned or properly stored, and catering items are cleared away after use.
  • Reporting: Capture and report customer interactions, maintaining accurate records of activities.

Position Requirements:

  • 2-3 years experience in hospitality, event planning, or a related service industry.
  • Strong technical skills (Microsoft Office, Google Docs, AV equipment).
  • Experience with catering setup and coordination.
  • Ability to stand for long periods and work in a fast-paced environment.
  • Strong interpersonal skills with a professional demeanor.
  • Ability to work independently with minimal supervision.
